Academic Coaching Coordinator

Reporting to the Director of Academic Support, the Academic Coaching Coordinator is responsible for developing and delivering holistic and proactive academic and writing coaching to increase the retention and persistence of Heidelberg students.


Reports directly to the Director of Academic Support.


The Academic Coaching Coordinator provides general supervision over the student employees who serve as academic and writing coaches; the Academic Coaching Coordinator also works collaboratively with all Owen Center staff and Faculty members. 


Establishes and maintains a comprehensive academic coaching program based on best practices and current trends in academic support services to provide the appropriate level of support to all Heidelberg students. 

Provides direct academic and writing coaching to students. 

Teaches 1 section of NDI 128: The Learning Process in an Academic Environment.

Coordinates with academic departments to recruit, train, and supervise academic and writing coaching positions; selects, trains, schedules, and supervises students to fill these positions.

Maintains a thorough knowledge of multiple instructional methodologies to accommodate various student learning styles. Assists students in understanding and using effective reading and learning strategies.

Coordinates study spaces and creates, facilitates, and presents workshops (virtually and in-person) for students to achieve academic success.

Coordinates and distributes 4, 8, and 12-week appraisals to all academic advisors and coaches.

Responds to faculty-submitted Academic Alerts submitted in the Guardian Conduct System.

Monitors Academic Support Center and tracks attendance of utilized academic support services.

Counsels and advises students on issues that affect their personal functioning, academic performance, and professional development.

Collaborates with other departments across campus and shares responsibilities for the University’s successful recruitment, retention, persistence, graduation, and placement of our students.

Builds and maintains partnerships with campus resources to create a network of support for students. 

Maintains accurate records, documents, services, and inputs data using appropriate tools, software, and strategies; prepares various reports as requested.

Actively promotes the services provided by the Owen Center at events like Orientation, Admission Preview Days, and faculty training events; promotes services using a variety of print and online campus media outlets. 

Provides support for students with a variety of identified disabilities; facilitates testing accommodations. 

Reports, tracks, and assesses the effectiveness of academic coaching; performs other duties as assigned.

Works with the Director of Academic Support and academic departments to assess student academic support needs and develop or modify programs to best meet those needs.

Prepares regular reports on the services provided by and the impact of academic and writing coaching on student performance and persistence. 

Performs other duties as assigned in support of the implementation of annual goals and objectives of the department.

Education and Professional Experience:

Bachelor’s degree in education, student affairs, counseling, communications, or other closely related field from an accredited institution;

1-3 years of experience providing one-to-one services through advising, career counseling, or closely related student service area;

Strong project management skills and proven ability to complete initiatives or develop programs;

History of demonstrated collaboration across units/departments/organizations and/or with multiple stakeholders;  and/or

A relevant combination of education and experience. 

Preferred Education and Experience:

Relevant higher education experience with proven successful outcomes.

Necessary Knowledge, Skills, and Abilities:

Demonstrated interpersonal, organization, and oral and written communication skills and the ability to multitask and manage competing priorities

Demonstrated ability in effective collaboration with college community – particularly faculty

Candidates should have significant experience working in or with academic support office

Ability to evaluate the academic needs of students and to design and deliver appropriate support solutions

Proficiency with various computer applications including word-processing, spreadsheets, presentation software and graphics.

Ability to work both independently as well as cooperatively in a team setting.

Exceptional self-motivation, integrity, and creativity.

Ability to manage multiple tasks and adhere to strict deadlines.

Ability to interact professionally, effectively, and in collaboration with faculty, staff, students, and alumni.


Knowledge of operation and use of various office equipment including, but not limited to:  personal computer (including spreadsheet and word processing software), integrated database software, fax machine, copier, telephone, scanner, printers, and adaptive technologies.

While performing the duties of this job, the employee is frequently required to use arms, hands and fingers to operate and manipulate equipment generally found in an office setting.  The employee may be frequently required to be mobile, communicate, and hear.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Mental demands include varied degrees of occasional stress while performing job duties.

While performing the duties of this job, the employee frequently works in an office setting.  The noise level in the work environment will range from moderately quiet to moderately loud.
