Our Client They are a growing international consulting firm specializing in the economic analysis of public policies, social programs, and international development projects. Since their inception in 2016, our client has successfully completed assignments for governments, multi-laterals, and large NGOs around the world, including USAID, the Millennium Challenge Corporation (MCC), the World Bank, World Vision, the Bill & Melinda Gates Foundation, the World Health Organization, and Nutrition International. The Role Located in Kingston, ON, they are searching for an Administrative Assistant to perform various administrative and bookkeeping functions to support the company’s CEO and Finance Manager. As the Administrative Assistant, you should be well-organized, have excellent time management skills, take initiative, have a knack for numbers, and work well with limited supervision. Furthermore, you have excellent oral and written communication skills and can organize your work effectively using collaboration tools such as Google Workspace. Previous experience working as an Administrative Assistant with bookkeeping experience is considered an asset. Responsibilities Answer and direct incoming phone calls Manage, organize and schedule calendars and appointments Plan meetings and record minutes, as required Write and distribute emails, correspondence memos, letters and forms Manage information flow in a timely and accurate manner Maintain contact lists Scan and prioritize incoming emails Undertake basic bookkeeping tasks, including AP and AR Support month-end close and month-end payroll process Perform other duties as required Qualifications Post-secondary degree in Business Administration, Communications or related field Proven experience in Administrative Support and/or Administrative Assistant position Solid understanding of basic bookkeeping and accounting payable/receivable principles Data entry skills with a knack for numbers Proven experience managing senior personnel Exemplary professionalism, people and relationship management skills. Proficiency in spoken and written English Proficiency using Google Workspace (Calendar, Drive, Gmail) Proficiency with spreadsheets Strong organizational skills, task management and attention to detail Benefits Small team, great location, competitive compensation and benefits.
