The African American and African Studies Community Extension Center (CEC), part of the Department of African American and African Studies, within the College of Arts and Sciences, seeks an Administrative Assistant to join our team.
The position will assist the Program Manager, which includes drafting correspondence on behalf of the Program Manager, completing projects as assigned, managing the CEC and Program Manager’s calendar, assisting with special projects and program planning, and staffing CEC events. The successful candidate will also assist in planning and preparing material, presentations, and other activities related to programming and creating a public identity and brand for the CEC, overseeing consistency and currency of all CEC policies and documents; assists Program Manager with preparation of grant applications and compliance management of grants; develops content for and maintains CEC website and social media presence; serves as webmaster and listserv manager for the CEC; attends select on-site and off-site meetings with the Program Manager, as assigned. The Administrative Assistant will coordinate building operations including initiating facility and IT work orders, scheduling meetings and events, drafting rental agreements and invoicing clients; works with the Program Manager at the CEC on budgets for purchasing supplies, software, equipment and other purchases and program expenses; Initiates Workday requests for procurement and follows requests from approval to fulfillment; consults with the department assigned fiscal officer on procurement and travel policies; researches policies to solve problems. The Administrative Assistant will work with department assigned fiscal officer to manage pCard and records journal entries for deposits for the CEC. The Administrative Assistant will serve as a backup for the front desk when student employees are not available; provides information to internal and external customers; responds independently to inquiries from students, faculty, and the public. This position will also serve as a back-up for coverage or other duties as assigned for the Department of African American and African Studies.
This position will provide on-site assistance for programming and special events at the CEC, including opening and/or closing the facility during specific programs and events in the absence of CEC staff. Evening and weekend hours will be required for some programming and special events.
Minimum Education Required:
High School Diploma or GED
Additional Education Desired:
Bachelor’s degree in Business Administration or equivalent combination of education and experience
Required Experience:
One (1) year of relevant experience. Proficiency in Microsoft Office required. Experience with university systems desired. Experience in a public-facing role desired.
Additional Information:
The pay range for this job profile is $17.74 – $23.65. The offer for this position will fall within this range based on internal equity, unit’s available budget, and the candidate’s qualifications.
