Job Summary Provide varied administrative support, including travel, scheduling, and procurement to the Associate Vice President for Research, Assistant Vice President for Research, and the research activities under the Vice President for Research and Innovation. Requires moderate exercise of independent judgment, initiative and ability to make decisions relative to office operations.
Essential Duties and Responsibilities
  • Oversee general reception area, greet and direct visitors, and answer phones
  • Coordinate all travel arrangements and travel authorizations. Processes expense reports for payments and reimbursements; prepares vouchers, process invoices, purchase orders, and non-travel expense reimbursements.
  • Assist with calendars/scheduling, and scheduling of events, meetings, or use of facilities.
  • Responsible for keeping inventory of all office supplies and placing orders for replenishment is needed.
  • Assist with meeting and event planning, monitoring, set up, and tear down, payment processing
  • Process service request; mailing and shipping
  • Coordinate, track and file all VPRI faculty awards in SharePoint. (IRPs, REPs)
  • Support the VPRI accounting office as needed.
  • Prepare reports as required
Required Qualifications Bachelor’s degree with one year upper level secretarial experience or high school with five years of increasingly responsible administrative, secretarial and clerical experience with one year of supervisory experience.
