Job Summary The incumbent will be responsible for executive, budgetary, and administrative services including personnel matters, preparing reports as required for projects/grants, preparing budgets and monitoring expenses, performing daily office operations, scheduling and maintaining SCIE classes, and maintaining contacts and liaising with other University offices and external agencies in connection with program activities.
Essential Duties and Responsibilities
  • Relieves administrator of a wide variety of internal administrative duties and a large volume of decisions which require a thorough understanding of the functions, programs, and policies of the University.
  • Coordinates and manages the administrative operations of the department to include purchasing, grant management, payment processing, travel arrangement and reimbursement, and monthly statement of account reconciliations.
  • Serves as records manager by complying with the legal requirements of final disposition of records after their final life cycle.
  • Performs asset control activities by maintaining inventory in kit rooms. Accepts kit check-out requests and assembles or delegates to have items ready for pick-up.
  • Maintains spreadsheet of all controlled assets and routes “off-campus” and “custodian changes” in UTShare Manages the business office by greeting all visitors/students into the office and routes as necessary.
  • Answers phones/email inquiries regarding UTeach Arlington.
  • Plans and organizes meetings; completes work orders as needed.
  • Performs onboarding/offboarding and evaluating personnel; supervises student employees; serves as timekeeper in TCP for faculty, staff, and student workers in UTeach; completes offer letters and eforms for faculty teaching SCIE courses to include additional pays for the Co-Director; and assists with other payroll arrangements.
  • Organizes class scheduling to include scheduling UTeach and SCIE courses, assigning faculty, and managing special class labs in SH 226.
  • Serves as lead administrative assistant during summer camps arranged by the Co-Directors of the program.
  • Completes key requests and annual key audits; controls keypad entrance list for swipe card entry in SH 219A (student lounge).
  • Performs other duties assigned.
Required Qualifications
  • Bachelor’s degree with three to four (3-4) years’ experience in customer service.
  • Previous experience in an accounting, administration, or hiring role. 
Preferred Qualifications
  • The ability to keep the team optimistic and be able to smooth out any issues.
  • Knowledge of computer programs used at the University and the ability to adapt to new. software; excellent oral & written communication.
