Terms of Reference
The incumbent will work in the Human Resources Area and will be supervised by the Associate Human Resources Officer, providing clerical support on Human Resources (H.R.) administration in general, including support in selection and recruitment processes, maintaining of leave records of Affiliates and other administrative formalities related to staff administration.
The candidate however will not have any direct accountability in approvals or decision-making impacting staff recruitment or benefit administration as s/he will receive close guidance and supervision when preparing any document requiring approval or to be used for any decision-making process by the management.
The candidate should be fluent in English (including strong skills to draft formal documents and communications in English), have some experience providing clerical assistance in Human Resources areas in an international humanitarian environment and have some experience in the preparation of diverse Human Resources materials such as welcome packages, briefings, presentations or information for distribution to all staff. Also, the incumbent is expected to have an advanced level of excel, power point, Canvas and Visio, among others, as she/he will provide support in the preparation of figures of staff, staffing lists, reports for management, presentations and organigrams.
The candidate should have good skills to plan and organize, multitask, manage competing priorities and be resulted-oriented in fast paced environments. The ideal candidate should have a high degree of organization awareness including exposure to management of strict confidentiality when dealing with Human Resources matters, to be highly motivated to learn continuously and ability to immerse/navigate through new processes comfortably.
Some experience producing drafts of documents of Human Resources in English, Special Operations Procedures, guides on new procedures or systems as well as experience supporting selection processes and exposure to provision of support services in Human Resources areas for international humanitarian organizations will be highly valued.

Clerk
Organizational Setting and Work Relationships
The Clerk provides clerical and administrative assistance to the immediate supervisor and/or the Office as a whole. The incumbent is normally supervised by an Officer or Associate. S/he receives regular guidance and instructions from the supervisor on procedural aspects of the work. As per specific instructions, the incumbent may require liaising with other internal or external entities, to ensure effective delivery of services and achievement of objectives.

Duties
– Provide general clerical support to the work unit and, if required, visiting staff members.
– Maintain the records in the work unit, create files for correspondence, reports, including confidential files.
– Manage conference room booking and ensure that the facilities are well arranged and prepared with adequate supply to cover number of intended guests.
– Maintain a proper record and inventory of stationary items in the work unit and ensure a well-stocked office.
– Sort and prioritize incoming correspondence, reports, etc. and direct to other responsible staff members where necessary.
– Arrange and forward records for archiving and maintain records of files sent for archiving.
– Maintain calendar of appointments and schedules of meetings and travel for the supervisor, perform such clerical tasks as the completion of travel authorization requests, stationery request forms, etc.
– May be required to prepare drivers¿ work schedule and maintain shift system.
– May be required to organize and maintain mail delivery (Pouch) and tracking system between offices.
– Perform other related duties as required.
