The Opportunity: We are seeking a Development Operations Manager to join our fundraising team. The Development Operations Manager will oversee all operations and back-office activities for Farm & Wilderness (F&W) and Farm & Wilderness Conservation, Inc. (FWC) development department which aims to raise more than $1 million annual, build and manage a strong endowment, and run successful capital campaigns for infrastructure projects. The Development Operations Manager will be charged with: 1. Development Operations Management, 2. Raiser’s Edge Management and Gift Processing, 3. Development Reporting and Analysis, 4. Prospect Research and Portfolio Management Support. This role can be a mix of directly executing this work and managing other vendors and part-time staff to execute this work.
Reporting and Collaboration: The Development Operations Manager reports to the Development Director and closely works with the Executive Director to support the mission of Farm & Wilderness and ensure donors are excellently served.

In this role you will (Essential Functions)
Manage Development Operations and the Development Back Office
- Ensure smooth, efficient, accurate Development Operations for F&W and FWC.
- Oversee Raiser’s Edge, development operations policies and procedures, day-to-day management of back-office.
- Develop and update Development Operations Procedure manual.
- Manage and oversee all development back-office activities in alignment with Development policies and procedures.
- Manage F&W and FWC’s fund list and fund categories, honoring donor intent, and simplifying where possible.
- Manage temporarily restricted and permanently restricted funds with Finance, accurately report on funds to Development Team, Executive Director, Development Committee, and donor fund creators.
- Manage grant reporting deadlines and support in grant reporting process.
Raiser’s Edge Management and Gift Processing
- Ensure F&W and FWC has accurate and robust data systems and processes that ensure all donations are processed and acknowledged in an accurate and timely manner, donors are excellently served, financial systems and audits are accurate, development team can make sense of data and analysis.
- Ensure accuracy and integrity of development database, including data input and output, technology management, end-user training and support.
- Process donations, gifts-in-kind, ensuring gifts are coded correctly. Record and process gifts in compliance with IRS rules, organizational standards, and audit standards.
- Process acknowledgement letters / receipt process for all donors ensuring correct and often customized correspondence.
- Create and maintain standard monthly and year-end reporting procedures for reporting on fundraising results and reconciliation with the Finance Department.
- Generate pledge reminders and preserve gift and pledge audit trail.
- Create lists for purposes of major appeals. Develop parameters for mailing lists, utilize database coding structures to target and refine mailing lists.
- With support, manage aspects of major appeal outreach including preparing and processing major mailings.
- Provide initial and ongoing user training, including constituent look-up, data entry, and running standard queries and reports.
- Coordinate with Finance Department to ensure strong financial processes and records including reconciliation between Development and Finance, supporting the audit process, and more.
Development Reporting and Analysis
- Produce regular and on-demand reports and analysis of fundraising results, donors, giving, campaigns to enable the Development Team to continue to improve their fundraising efforts and results.
- Produce monthly and quarterly fundraising reports for the Development Team, Development Committee, and Board of Trustees.
- Analyze development data for overall fundraising and specific campaign projections.
- Analyze in-house and outside data, such as wealth screening, to develop ranked prospects for campaigns.
- Utilize reports tool to track appeal results, major donor opportunities, solicitor results, and more.
- Prepare comparative analysis of fundraising performance, including donor trends and opportunities.
Prospect Research and Portfolio Management Support
- Ensure F&W and FWC have a strong system and process for managing portfolios of donors.
- Ensure donor prospects are well researched so that relationship managers are well equipped to secure donations.
- Manage front-line fundraising requests, including supporting donors to make their gifts, answering donor questions about how to give, providing donors information.
- Support Relationship Managers for major donors including Executive Director and Board members. Provide reports and materials for major donor conversations.
- Update constituent records in the database including archiving notes and important information and status of donor cultivation effort.
- Provide reports on Relationship Manager portfolios.
- Proactively identifies new and high-level annual and major gift prospects through analysis, screening information, data mining techniques, and other research techniques.
- Create prospect reports for new prospects and donors up for renewal for use by Relationship Managers.
- Support strategic fundraising efforts by participating in efforts to prioritize donors.

Work Conditions and Location
This job operates out of the Farm & Wilderness main office located in Plymouth, VT. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers. This position utilizes cloud-based software and is computer based, therefore remote or hybrid work can be available on occasion.

Pay: $45,000.00 – $55,000.00 per year
