Every organisation has a Digital Workplace. It encompasses all the digital tools and assets needed for workers to effectively carry out their business functions. However, in a mature digital workplace, platforms, tools, and capabilities are used to transform the user experience – creating an intelligent, relevant, and targeted experience to achieve the promised outcomes. UNHCR is in need of internal digital spaces that empower our workforce to engage and collaborate on business specific processes, issues and priorities at the unit, section, service, community and global layers of the organisation. The Digital Workplace and Knowledge Unit manages these spaces and one big project in 2023 – 2025 is to replace the current intranet with a more dynamic personalised Digital workplace experience driven by SharePoint, Teams, Yammer and other Microsoft technologies. The contractor responsibility is to work with the units, regions to assist with

  • Intranet presence and migration
  • Raising awareness of internal engagement platforms
  • Internal digital community engagement
  • Architecture of Digital Workplace
  • Reporting and analytics

Overall Scope Of Assignment:

  • Concise and detailed description of activities, including measurable outputs and delivery dates, impact indicators (what qualitative and quantitative results would be achieved upon completion of individual contract), performance indicators (timelines, value of the service rendered in relation to the cost, timeliness) and work plan:
  • To support implementation of UNHCR’s Internal Engagement strategy – in collaboration with divisions, bureaux and country operations – and ensure alignment with defined objectives, internal engagement and communication values and brand guidelines, digital workplace & knowledge unit capacity, via an Individual Contractor, is sought to work on:

Internal Community Engagement Performance Monitoring:

  • Research and produce detailed 2023/2024 statistics for SharePoint & Yammer communities;
  • Track internal engagement activities on digital communities and products for various quarters indicating priority pillar (essential/ valuable/ interesting),  regions engaged, role of the Internal Engagement (driving/ supporting/ tracking), partners involved, engagement and sentiment. 
  • Collate and track feedback, identifying positive/ neutral/ negative sentiment and any follow up action required. 
  • Integrate both quantitative and qualitative feedback received into performance
  • reports.

Editorial:

  • Research, write and edit a wide range of engaging intranet content, in collaboration with and support of entities across UNHCR.
  • Liaise with and assist colleagues in regional bureaux and operations to better identify and develop content,
  • Update and publish content on the UNHCR Intranet
  • Monitor and assist with the Intranet functional email inbox, ensuring all messages are acknowledged and responded to, including direct messages and messages received via Intranet feedback forms,

Internal Engagement Awareness:

  • Support development of process to ‘transfer’ internal engagement to all colleagues
  • Support awareness sessions and production of guidance material of internal engagement tools

Internal Engagement coordination:

  • Support the production of meeting notes, and follow-up completion of action points, for cross-divisional projects and coordination groups led by Digital Workplace and Knowledge.

Qualification And Experience Required:

  • Undergraduate degree (equivalent of a BA/BS) in in a work related area or similar field plus minimum of 2 years of relevant experience. 
  • Excellent communication and presentation skills.
  • Experience in internal engagement and Intranet content development.
  • Excellent computer skills (MS Office 365, Word, Excel, PowerPoint, SharePoint, MS Forms essential). 
  • Experience in authoring with Adobe Experience Manager (AEM).

Language Skills: 

  • Excellent command of English (written and oral), and knowledge of a second language. 
  • Communications experience with UNHCR and/ or another UN agency. 
  • Ability to telework efficiently and effectively in a team environment as well as independently, and manage own work related to multiple tasks and activities. 
  • Be comfortable working in a fast-paced and reactive environment, delivering to a high standard with tight deadlines.
