The technical focus of the tasks identified in this position primarily revolve around Monitoring and Evaluation (M&E) activities within the context of project management and reporting. This includes contributing to the development of monitoring and evaluation plans for effective progress tracking, managing project-related information, and advising on best practices. Additionally, the role involves preparing various reports, including those for frameworks and indicators, and coordinating inputs for work plans, budgets, and communication with stakeholders. 
Ensuring timely submission of project reports according to schedules is essential, along with providing information for visibility and presentations to donors and stakeholders. Assisting in establishing results matrices, participating in evaluation missions, and serving as a focal point for preparing reports through relevant systems are also crucial aspects of the role. Finally, continuous monitoring of compliance with project cycle requirements, including closure and reporting, is essential for effective project management. Overall, these tasks require a strong understanding of M&E principles, data management, reporting systems, and project cycle management to support effective program implementation and monitoring.
Tasks and responsibilities:
  • Collect and compile data on programme/project activities from work plans, logical frameworks, progress reports, procurement plans, and other sources to support monitoring and reporting on activity implementation, results, beneficiaries, and financial delivery.
  • Contribute to the preparation of Monitoring & Evaluation (M&E) plans for projects and programmes.
  • Manage project-related information for easy retrieval and advise project and Representation staff on this matter as required.
  • Extract data, provide analysis, and other related support to the preparation of reports, as requested.
  • Monitor the implementation of the Country Programming Framework (CPF), reporting CPF progress on PIRES, and prepare standard and ad hoc reports.
  • Coordinate the collection of and insert information into the corporate system established for monitoring the FAO Corporate Country Indicators and Strategic Objectives.
  • Coordinate and format inputs to FAO work plans and budgets, annual reports, and mid-term reviews of the United Nations Strategic Development Cooperation Framework (UNSDCF), and report to the UNinfo.
  • Coordinate and format inputs to FAO questionnaires working with the relevant government counterparts.
  • Maintain a schedule of reporting deadlines and required formats, and follow-up with responsible staff to ensure timely submission of project, CPF, UNSDCF, and other reports.
  • Provide information for the development of visibility and communication material on projects and other work of FAO-Sri Lanka, including presentations to donors and other stakeholders.
  • Contribute to the establishment of results matrices of CPF and UNSDCF, and to FAO, UN, or donor-led initiatives related to M&E missions, reviews, and assessments.
  • Act as the focal point for the preparation of Director-General briefs and COIN reporting.
  • Continuously monitor the FPMIS and ensure all project documentation is in order, required documents are uploaded, and staff follow the project cycle requirements properly (operational closure, financial closure, mandatory reporting, etc.).
  • Perform any other related duties as requested by the supervisor.
Candidates Will Be Assessed Against The Following:
Minimum Requirements:
  • A University degree in Political or Social Science, Project Management, Economics, International Development Studies, IT or any other relevant field.
  • 5 years of relevant experience in monitoring and coordination work in projects.
  • Working knowledge of English and Sinhala/Tamil. 
  • A national of Sri Lanka or must hold a regular work permit.
