Reports to: Senior Director, Travel and Business Support

Purpose: The job holder will manage and oversee all aspects of the printing and copying operations, managing staff and ensuring that the required printing requests for the whole university are handled professionally and promptly. He/she will be overseeing the operations of the print shop to ensure that it operates efficiently and effectively and that the quality standards are met through regular audits of printed materials. In addition, negotiate contracts regarding deadlines, budgets, and other terms and conditions and identify new technologies that could improve workflow efficiency. The job holder will be focusing on providing excellent customer service and creating a positive atmosphere for the whole community.

Responsibilities:

  • Maintain relationships with vendors to ensure that The American University in Cairo (AUC) has access to high-quality products at reasonable prices
  • Train the printing services employees to enable them to operate the machinery and that they understand safety procedures related to the binding process
  • Managing and responding to all inquiries about online printing job orders
  • Monitoring and overseeing two online systems in a professional manner checking both systems whether printing orders in-house or outside to ensure quality control
  • Working in close contact with the schools, departments, and all AUC offices on the needed printing materials
  • Approving and reviewing on monthly basis all job orders for the three parcels and monitoring the revenue with the budget office
  • Approving all payments for outside vendors for offset printing
  • Maintain accurate financial records and submit monthly reports to senior director to ensure proper accounting of expenses and payments for work completed
  • Working closely with the communication office on the logistics of the execution of the commencement printing materials and any required materials for the President’s Office, Provost, and any other office
  • Working with the Grants Office for the daily printing job orders requested
  • Preparing and negotiating the Service Level Agreement on yearly basis with the system owner to maintain the business cards and letter head printing process online making sure that all departments are added to the system and end-users can submit their requests easily
  • Solving and handling all problems related to this online system and getting approval for contract renewal
  • Checking that all requests for letters heads titles and so on are approved by human resources and the communication offices
  • Responding to the generic email for the printing service
  • Ensure a strict confidentiality policy for the printing of exams and any other material
  • Handling and responding to all inquiries about online printing job orders
  • Communicating updates, and feedback with the outside printing agents and the AUC departments
  • Manage the online system and provide weekly reports to the senior director on the number of job orders received, and completed, and the lead time of every task
  • Conduct regular surveys on pricing to ensure the pricing matches the market, and report survey results to the senior director for the preparation of the annual operating budget that includes both expenses and revenue
  • Supervise the daily operation closely between the three parcels
  • Manage and monitors the new printing outsourcing (Xerox) in terms of paper supply, maintenance of the Xerox machines, and ink/toner supply
  • Oversee and guide all activities of the service team
  • Ensure team follows best practices and maintains service level agreements
  • Monitors department issues and client complaints
  • Develop problem management and service improvement plans
  • Focus on customer retention by building relationships and handling any problems and developing action plans to enhance the process
  • Responsible for cost management and control
  • Responsible to achieve the budgeted revenue through maintaining customer relations and efficient problem-solving
  • Maintain track of service and inventory records
  • Work closely with the procurement office in offset printing
  • Handle the annual leaves, overtime, and purchase requisitions for the printing services
  • Perform other related duties as requested by the direct manager

Requirements:

Minimum Education Requirements:

  • University degree is required

Experience:

  • Minimum of 10 years including 3 years in a supervisory role

Skills:

  • Excellent written and spoken Arabic and English
  • Excellent communication, teamwork, and interpersonal skills
  • Excellent time management and organizational skills
  • Working knowledge of business, accounting, or commercial procedures
  • Excellent computer skills including Microsoft Office, front-page and Internet
  • SAP
