Responsibilities of the Program Assistant:

  • You will provide administrative support to help ensure international participants have the resources needed to prepare for their arrival to the U.S. and to help support their compliance while on program
  • Responsible for preparing visa document shipments, processing payments, updating participant files, organizing data, and responding to general program inquiries from participants and U.S companies via phone and e-mail about the program, visa regulations and application processes
  • Report to the Senior Visa Specialist and work in close collaboration with the other Visa Specialists
  • Conduct administrative tasks, including but not limited to: scanning, copying, digitally filing participant application documents, answering general program phone line
  • Prepares approval packets, informational and federal documents, and prepares daily FedEx shipments
  • Review and records program evaluations submitted by participants
  • Assist with conducting video/telephone interviews with program applicants, as needed
  • Order and supplies team with program and shipping materials
  • Assist with financial tasks such as reconciling shipping related invoices and receipts and program refunds
  • Compile monthly SEVIS receipts to submit to Accounting department
  • Responsible for checking arrival notifications from program participants and updating database
  • Pulls and reconciles program data reports as needed
  • Answer program inquiries from participants and clients via phone/e-mail as needed
  • Support the Business Development team with new host company and market research
  • Support the Participant Engagement team with participant events, communications and monitoring participant compliance with Federal regulations in all programs
  • Assist with participant insurance enrollment and supports Global Talent Development program team insurance processes

Requirements of Program Assistant:

  • Ability to take accountability for multiple assignments / projects simultaneously, prioritize workload, organize, and make decisions in a deadline driven environment
  • Extraordinary attention to detail and organization skills
  • Demonstrated ability to anticipate outcomes and problem-solve
  • Strong analytical skills, good judgment and critical thinking skills

  • Strong ability to communicate effectively (written and oral) within a multi-cultural environment
  • You must enjoy administrative responsibility and customer service and have a passion for our mission of international exchange
  • Foreign language skills a plus
  • Computer Equipment and Software Experience Required: Must be proficient in Microsoft Suite products; Salesforce or other CMS experience a plus
  • Experience/interest in International Relations, Business, Education, or other related coursework preferred
  • Flexibility to potentially work on weekends, holidays, and evenings may be required

Job Type: Full-time

Pay: $45,000.00 – $50,000.00 per year
