Klingenstein Philanthropies is comprised of three family foundations that are committed to supporting research in neuroscience, the environment, and funding programs that improve the lives of children in the fields of mental health, oral health, medicine, and education.

About the Position

Program Assistant supports grantmaking, meeting planning, communications, and operations.

The ideal candidate is well organized, proactive, and detail-orientated with demonstrated evidence of working effectively in a team and independently.

This is an opportunity to work with a small group of friendly colleagues in a hybrid environment that includes a beautiful office based in the Chelsea area of Manhattan. This position reports to the Chief of Operations/Director of Fellowship Programs. The salary range is $75,000 to $90,000 and is commensurate with experience.

Responsibilities:

Grantmaking

  • Coordinate grant and fellowship application processes, including online applications and inquiries from applicants.
  • Support staff and reviewers, including review committees in their evaluation processes.
  • Provide post-grant support that facilitates the grant process and its reporting requirements. 
  • Maintain and update electronic grant records through software and spreadsheets.
  • Make use of training tools provided by grantmaking software, monitor new releases, and share knowledge with staff and others.
  • Generate grant reports of program data and assist with special projects as needed.

Meeting Planning

  • Support scientific conferences and other meetings that occur in person and virtually.
  • Assist with venue selection, including NYC hotels, restaurants, and events.
  • Coordinate with travel company, work with other vendors and suppliers.
  • Prepare material, develop meeting rundown, and survey participants.

Communications

  • Keep the Philanthropies’ website up to date and respond to online inquiries.
  • Write website and social media content that highlights grantees and promotes the foundations’ funding opportunities.
  • Seek ways to increase the number of qualified applicants through email and other announcements.  

Operations

  • Provide direct support to Chief of Operations/Director of Fellowship Programs, including bookkeeping tasks, meeting minutes, and other administrative duties that support Klingenstein Philanthropies and its team.

Qualifications:

  • Bachelor’s degree with a minimum of three years of work experience.
  • Familiarity with the nonprofit sector, family foundations, and/or our program areas.
  • Exceptional interpersonal and organizational skills, with the ability to prioritize and adapt.
  • Strong oral communication skills. 
  • Strong writing and proofreading skills.
  • Proficient in Microsoft Office and Outlook. Experience with Zoom, Box, Foundant, WordPress, or similar software products.
  • Work experience with event planning, web content and/or social media platforms a plus.
