Position Summary
This Administrative Assistant is responsible for providing comprehensive and senior support to the Associate Dean, Research in administrative, research, and academic capacities. This position works independently and requires judgement, common sense, and the ability to work under challenging time constraints and conditions due to the many priorities and issues being handled in the Office of the Dean. The position is expected to carry out duties with minimal instruction and supervision, and is required to function at a senior level to ensure completion of projects and initiatives.
Duties
The incumbent will be responsible for administering, coordinating, and managing all activities related to the portfolio of the Associate Dean Research. Duties include but are not limited to:
- Coordinates and manages faculty grants and awards
- Schedules grants, calls, and adjudication meetings (SARAC), and prepares external nomination package
- Administering awards and scholarships; including Faculty Scholarship and Research Award Committee
- Plans, coordinates and manages faculty-level research events
- Administers university-wide research requests in school districts (the Cooperative Activities Program)
- Drafts and/or generates routine communications based on straightforward information for supervisor review
- Plans and schedules calendar(s) in consultation with the Associate Dean, and resolves calendaring conflicts
- Initiates and coordinates various requests
- Takes on and manages new workflows as they are needed
- Provides general administrative support working under the supervision of administrative/academic leaders
Qualifications
- Office administration certificate or equivalent
- Strong organization skills
- Ability to prioritize effectively to meet deadlines at peak workflow periods
- Forward-thinking, with the ability to anticipate needs
- Strong written and verbal skills
- Minimum 3-5 years experience providing senior administrative office support and university research admin support
- Advanced skills with Google Suite products
- Strong attention to detail and accuracy
- Ability to work independently and handle the pressures of deadlines
