Summary of Job Duties:

The Education Coordinator serves as the pivotal force in cultivating a transformative and enriching atmosphere for students within the College of Pharmacy (COP). Through orchestrating key student events, nurturing community involvement, and amplifying the COP’s identity, this role forges robust connections with students, student organizations, alumni and stakeholders to elevate the student experience and professional development opportunities. Acting as the primary conduit between the Office of Student Services (OSS) and professional student organization, this position entails upholding institutional guidelines, facilitating organization undertakings, managing financial resources, fostering collaboration, and orchestrating diverse events to enrich student engagement and cultivate their professional trajectory. By organizing roles and responsibilities into actionable agendas and periodic assessment of student needs and engagement, the education coordinator can bolster students’ academic triumphs, holistic well-being and sense of belonging within the COP community.

Qualifications:

  • Bachelor’s Degree in Business Administration or related field plus 3 years of Administrative experience, Event planning/coordination and/or Project Management
  • Must be proficient in Microsoft office suite, well organized, proficient in event planning and project coordination, have strong leadership, communication and organizational skills and be able to work independently.

Preferred Qualifications:

  • Master’s Degree in Business Administration or related field with 1 year of administrative experience, event planning/coordination and/or project management
  • Intermediate level computer program proficiency and ability to learn new technology quickly. Experience with Workday, Survey Monkey and Redcap. Knowledge and understanding of UAMS policies and practices.

Responsibilities:

Student Experience and Professional Development – Office of Student Services

  • Facilitates communication and collaboration between the Office of Student Services (OSS) and professional student organizations.
  • Ensures compliance with institutional policies for all student organization activities.
  • Reviews and approve requests for student organization activities: monthly meetings, speakers, logos, fundraising events, educational activities, and social events.
  • Reviews and update the College of Pharmacy (COP) Student Activities Handbook, annually.
  • Compiles annual reports on COP student organizations’ activities and achievements.
  • Manages online student activities calendar. 
  • Manages the allocation of budgets and disbursement of resources for professional student organizations.
  • Fosters cross-collaboration among student organizations to maximize their collective impact and promote synergy.
  • Implements Alumni Ambassador Program and increase their involvement, and contribution to the student experience through mentorship, involvement in student activities, and support for student initiatives by:
  • Communicating with alumni through electronic and written correspondence.
  • Coordinating networking opportunities between alumni and current students.
  • Collaborates with relevant stakeholders to develop service opportunities for students.
  • Collects information on events, job openings, scholarships, and professional development opportunities, and inform COP students and graduates accordingly.
  • Promotes student organization events and achievements through various channels, including social media, newsletters, and the institution’s website.
  • Develops and promote marketing strategies in collaboration with the Office of University Communications to enhance the visibility and reputation of the COP.
  • Promotes internal and external programs that support student wellbeing, personal and professional growth, community involvement, and work-life balance.

Plans and executes annual COP student events (listed below) in collaboration with Executive Assistant II-Student Services, OSS Student Ambassadors and relevant stakeholders:

  • Creates online forms and surveys to collect student information pertinent to the events listed above.
  • Acts as a liaison between OSS and Arkansas Pharmacists Association (APA).
  • Collects and maintain student emergency information.

Student Success Support

  • Maintains and distributes precise cohort-specific rosters to COP administrators, course coordinators, and stakeholders.
  • Advocates for student needs and interests by identifying barriers to success, student well-being and equity. 

Works with the Associate Dean for Student Services (ADSS) to:

  • Proactively reach out to at-risk students and provide personalized academic advising and career guidance.
  • Help students set academic goals, create personal action plans and monitor student progress.
  • Identifies and connect students with UAMS Student Success Center/Learning Specialist, Campus Life and Student Support Services, ADA/Disability Services, Student Wellness Program, Student Health Services, Student Financial Services, Fitness Center.
  • Assists students in creating personal action plans and academic goals, fostering rapport to support goal attainment
  • Acts as a liaison between OSS and Offices of Academic Affairs and Experiential Education.
  • Coordinates, develops, and implement student success strategies and technologies.
  • Collaborates with faculty and staff to enhance student retention and academic outcomes.
  • Handles confidential student information in compliance with regulations.
  • Ensures clear communication and maintain accurate records.
  • Responds promptly to student inquiries

Administrative and Assessment Support for OSS

  • Develops metrics and assessment tools to measure the success and impact of student professional organization initiatives.
  • Schedules and coordinates OSS Team Meetings (calendar invites, schedules, agendas, & minutes).
  • Collects feedback from students and stakeholders to continuously improve and refine programs and activities.
  • Contributes to the development, implementation, and assessment of student success initiatives.
  • Coordinates data collection and data base management for the Offices of Students Services.
  • Collects and analyzes data on student performance, persistence, and completion to identify trends and areas for improvement.
  •  Utilizes data-driven insights to inform decision-making and strategic planning aimed at enhancing student outcomes.
  • Evaluates the effectiveness of student success initiatives and programs through ongoing assessment and feedback collection.
  • Performs any other duties or projects as assigned.
