Contract Information
The IMO Projects Roster is a pool of qualified and pre-vetted individuals who have already been assessed and interviewed. The aim of the roster is to expedite the recruitment process for project vacancies. Successful candidates will be placed in the respective roster for a period of 24-months and will be approached as and when openings become available. Note – Being included on the roster does not guarantee a job offer. Those who are listed on the roster will be contacted when a suitable opportunity opens up
Salary Information
Approximately £36,934 net per annum, (subject to deductions), free of income tax in the UK. Excellent benefits including medical insurance and UN pension scheme
Purpose
ROSTER OpeningUnder the overall supervision of the Project Manager, the incumbent will provide project and contract administration support for an IMO major project.The IMO Projects Roster is a pool of qualified and pre-vetted individuals who have already been assessed and interviewed. Duties and Responsibilities
Provide integrative and adaptive project coordination support, including the day-to-day operational and contractual matters of the Project, implementation and assessment of progress of each activity under the Project.Monitor the execution of the budget using ERP system to manage all procurement aspects of the project including the preparation and control of the project’s budget, contractual arrangements, and future planned commitments.Review and reconcile quarterly financial reports, cash books and associated documents submitted by executing partners.Maintain detailed project accounting, reconciliation and clearing expenditure for all funds related to the project and independently prepare and manage the mandatory project financial reports and any other interim progress reports to be submitted to the project donor(s).Independently develop, manage, and maintain project databases related to project implementation and expenditure.Maintain lists of key contact points for the project, and accurately update and archive documents and reports on the database.Independently manage all the administrative aspects related to the project financial closure.Organize recruitment of consultants and experts and coordinate their travel for project activities.Supervise the work of any project administrative staff, recruited for the project.Address administrative and financial enquiries from project partners, financial partners and industry alliance partners and IMO internal stakeholders (FS, MAES and Internal Oversight Services – IOS) in coordination with the Project Technical Analyst.Undertake field missions, if requested, to support any progress meetings and discuss financial and budget matters of the project as well as global events where extra administrative support will be necessary.Develop project awareness-raising materials in coordination with IMO’s public information services and assist with the project website and the development of communication materials.Prepare specific Project Implementation Documents (PID) and follow up approval and implementation on SAP.Undertake other duties related to the implementation of the project as may be required
Required Competencies
Strong financial management and administration backgroundWell-developed drafting and communication skills. Ability to prioritize tasks and to coordinate regional and national level technical assistance activities, resource mobilization and demonstrate ability to work independently. Strong attention to detail in all responsibilities and ensure consistency in delivery and implementation. Ability to work in a multicultural environment and to establish working relationships with internal and external stakeholders, at all levels.Resourceful and able to identify practical solutions to identified issues/challenges.Ability to exercise good judgement, tact and discretion
Experience
Minimum of six years’ experience in financial and administrative management, including budgeting and financial and management reporting is essential. Experience in project administration would be essential. Experience within the framework of the United Nations system or other international organizations would be an advantage
Education
Secondary education to university entrance standard is essential.Any additional qualifications in project management, financial accounting or bookkeeping would be an advantage
Language Skills
Advanced proficiency in English, both written and oral, is essential. Working knowledge of other official languages of the United Nations will be an asset
Others
Complete proficiency in MS Office Suite applications, particularly Excel. Experience and knowledge of ERP systems, website and database design and maintenance would be an advantage
