Job Summary
Under general direction of the Associate Vice President, Faculty Affairs and Development, the Executive Assistant will perform coordination of the entire clerical and administrative support functions for the Office of Faculty Affairs and Development, ensuring that office operations are successfully completed.
Minimum Qualifications
High School diploma or its equivalent AND five years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
Required Qualifications
- Comprehensive and detailed knowledge of the university infrastructure, policies and procedures.
- Thorough mastery of English grammar, punctuation, and spelling.
- Expertise in using office software packages, technology, and systems.
- Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
- Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
- Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
- Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
- Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
- Ability to effectively write and present own reports.
- Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
- Ability to use negotiation and persuasion skills to achieve results and expedite projects.
Preferred Qualifications
- Experience working in academic departments or academic colleges.
- Experience working with units outside of the Division of Academic Affairs.
- Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
- Ability to anticipate problems and address them effectively.
- Ability to effectively interpret, organize, and present information and ideas in written and presentation/oral form.
- Excellent organization and time management skills.
- Ability to plan, develop and coordinate multiple projects simultaneously.
- Thorough knowledge of the demands and requirements of senior-level management in higher education.
- Demonstrated expertise in project planning, development, and implementation.
- Ability to analyze complex problems and to devise innovative solutions; ability to work independently and in a collaborative fashion.
- Effective management and leadership skills.
- Sound judgment and discretion reflective of a thorough knowledge of a professional administrative specialty with policies and practices referenced for guidance.
- Ability to analyze and address problems using research and theory and the synthesis of relevant information.
- Ability to evaluate and recommend alternatives and best courses of action.
- Coordination with individuals at all levels within the organization and outside entities.
Compensation and Benefits:
Anticipated Hiring Range: $3,681-$5,200 per month
Classification Salary Range: $3,865 – $6,336 per month
The salary offered will take into account internal equity and experience among other factors.
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:
Work status: Full-time/Non-Exempt/Temporary (up to one year with the possibility of further renewal)
Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.
Summer schedule: Monday through Thursday (7:00 am – 5:30 pm), some evenings/weekends.
This position is a “designated position” in the California State University’s Conflict of Interest Code. The successful candidate accepting this position is required to file Conflict of Interest forms subject to the regulations of the Fair Political Practices Commission.
