The University of Miami is currently seeking a Surgery Scheduler 1 to work at Sylvester Cancer Center (SCCC) in Miami. The incumbent acts as liaison between patients, professional staff, and physicians by scheduling and coordinating all necessary functions for surgical and diagnostic procedures. Further, the Senior Surgery Scheduler acts as source of knowledge for scheduling staff and oversees their functions to ensure accurately and timely scheduling practices.

CORE JOB FUNCTIONS        

1.    Obtains pre-authorizations for procedures as required by insurance companies.
2.    Oversees, produces, and distributes all surgical and procedural schedules to physicians and departments.
3.    Collaborates with patients, families, staff, and providers within the office and the greater community to schedule surgeries, pre-op physicals, and testing.
4.    Coordinates with hospitals and vendors for special cases or circumstances.
5.    Identifies ways to streamline surgical scheduling process and provides suggestions to managing staff.
6.    Ensures that electronic systems and scheduling tools are up-to-date and operating smoothly, and immediately contacts appropriate personnel to resolve any issues.
7.    Ensures documentation is complete to support accurate billing of surgical procedures.
8.    Adheres to University and unit-level policies and procedures and safeguards University assets.

DEPARTMENT ADDENDUM

Department Specific Functions

Accountabilities:

1.    Works with Surgical Coordinators in physician offices to schedule surgical cases.
2.    Retrieves and prints schedules for the next day.
3.    Prepares statistics, identifying add-on totals, cancellations and overall OR utilization.
4.    Responsible for clerical functions of the respective unit.
5.    Performs secretarial duties including but not limited to faxing, copying, mailing, and typing any essential material.
6.    Answers telephone promptly and courteously using proper telephone etiquette, AIDET and routes calls and messages appropriately.
7.    Maintains patient confidentiality, as well as the confidentiality of hospital business information.
8.    Maintains area stocked with the necessary supplies and forms.
9.    Demonstrates dependability/reliability by promptly reporting to work when scheduled.
10.    Demonstrates initiative in a development of organizational skills.
11.    Participates in unit or organizational activities and volunteers to work overtime when needed.
12.    Able to prioritize responsibilities and duties and adjust these priorities as unit or patient needs change.
13.    Maintains collaborative relationship with all members of the interdisciplinary team and other departments.
14.    Accepts responsibility for own actions.
15.    Preceptor for new employees when applicable (Scheduling Coordinator).
16.    Seeks guidance and/or assistance when necessary.
17.    Uses available RN resources when questions arise.
18.    Understands and uses equipment properly, after instruction, considering the maintenance, safety, and availability.
19.    Ensures the surgical diagnosis and procedures are scheduled appropriately and ensures there is no equipment conflict between OR’s.
20.    Demonstrates basic knowledge and adherence to the policies and procedures of the individual nursing department and hospital.
21.    Demonstrates initiative in investigating policies/procedures when faced with questions.
22.    Demonstrates basic knowledge of the Quality Assurance/Performance Improvement Program for the designated unit.
23.    Demonstrates basic knowledge and compliance of mandated regulations such as Patient Rights, HIPPA, etc.
24.    Adheres to assigned Physician Block Schedule Time.
25.    Cognizant of OR date and time availability and communicates this to Surgeon offices, to ensure overall OR utilization.
26.    Maintains an open line of communication with Director of Nursing, Nurse Manager and or designee to ensure cases are scheduled correctly.
27.    Ensures that all MD’s requesting to schedule procedures with Moderate Sedation are credentialed/privileged to do so by checking in CACTUS and or communicating with Physician Services.
28.    Adheres to UHEALTH Standards of Behavior.
29.    Attends all mandatory unit/hospital in services.
30.    Follows proper Phone Etiquette
