Organizational Setting and Reporting Relationship

The position of Senior Operations Assistant is assigned to the Bangladesh Resident Mission (BRM) within the South Asia Department. You will be based at BRM Office in Dhaka, Bangladesh.

You will report to the designated International Staff and/or senior National Staff.

Your Role

As a Senior Operations Assistant, you will provide high quality, timely and accurate administrative, statistical, and analytical support services for various activities relating to BRM portfolio management unit, project processing and administration, and other administrative functions.

You will:

• Assist the country portfolio management units and sector missions in preparation of Country Portfolio Review Missions (CPRM) and Tripartite Portfolio Review Missions (TPRM).
• Liaise with staff concerned at the HQ, closely coordinate with Economics Relations Division (ERD) of the Ministry of Finance, and with key government agencies and ensure smooth communication and distribution of CPRM/TPRM aide memoire.
• Assist in organizing workshops, preparing letters, ensuring delivery to participants, preparing certificates/documents, arranging logistics, and preparing briefing papers and presentation materials for senior management and officials’ meetings, including seminars, workshops, and press conferences.
• Assist international and national staff in implementation of TAs and grants.
• Assist in recruiting consultants under the supervision of designated international staff.
• Assist in handling day-to-day routine functions in support of portfolio management unit.
• Provide administrative support to designated international staff and national officers.
• Prepare travel itinerary for both domestic and international travels.
• Monitor incoming and outgoing documents, reports, e-mails for action or reassignment (in the absence of responsible Administrative Staff).
• Perform other duties as may be assigned and reflected in the incumbent’s workplan.

Qualifications

You will need:

• Bachelor’s degree or equivalent professional and/or academic qualification.
• At least 5 years of relevant professional experience.
• Proficiency in MS Office Suite (Outlook, Word, Excel, and PowerPoint, SharePoint).
• Exemplary planning, coordination and time management skills using MS Outlook and MS Teams.
• Familiarity in videoconferencing tools (MS Teams, Zoom, Webex).
• Willingness to learn new software and willingness to be trained.
• Good coordination and interpersonal skills. Ability to work with individuals from different cultural/national backgrounds.
• Strong coordination, interpersonal and diplomatic skills.
• Excellent written and verbal communication skills in English.
• Ability to maintain composure under pressure.

Additional Information

This opening is a local staff position. It is open only to nationals and residents of Bangladesh.

This is a fixed term appointment with an option to renew for an initial period of 3 years following Section 3.1 (b) of Administrative Order No. 2.01 (“Recruitment and Appointment’). This appointment is not convertible to a regular appointment. It may be extended on an exceptional basis for a further fixed period at the option of ADB. This appointment is open to internal and external applicants.
