The Post

We are looking for an energetic, committed, innovative and servant-hearted person to work with our gifted staff team. You will quickly and imaginatively contribute to the planning and execution of all aspects of church activity and projects as well as helping to deliver the mission to realise the vision for KCC.

The key objective of this post is to ensure that KCC’s day to-day activities are in step with the strategic vision of the church. The Operations Manager will demonstrate strong and visible leadership to ensure their activity reflects KCC’s values and will share a passion for the church’s vision and mission.

Hours: The expectation is that this post will require 37.5 hours per week, primarily office-based at 70 Main Street, Kirkliston, EH29 9AB.

Remuneration: £32,000 to £36,000 per annum, depending on experience.

The post includes the availability of a workplace pension and sick pay.

Purpose of the job

To maximise the impact of the church’s mission, vision and ministries by developing and facilitating:

  • Effective communication – with staff, volunteers, members and other churches/organisations
  • Effective co-ordination – of serving teams, ministries and project
  • Change where appropriate – being proactive in implementing the mission and vision

As the church family continues to grow numerically, the Operations Manager will play an increasingly vital role, by enhancing the ministries and contributions of both staff and volunteers through strong planning and effective working so that:

  • Individual members of the church family can play a full part in the life of the church
  • Staff and volunteers are appropriately resourced to serve and grow their ministry responsibilities
  • Church activities are effectively managed and efficiently delivered; and, in particular
  • The pastors are resourced and released to fulfil their core ministries and tasks

Essential functions and responsibilities

Core responsibilities of the role will include:

    1. Office and routine administration – acting as the central point of contact (POC) for the church, and ensuring routine administration is efficiently conducted (e.g. establishing and maintaining a central registry of church documentation, in both hard and soft copy format as appropriate; running church office IT systems; maintaining a church master planner, and a members/attenders database; carrying out routine book-keeping as directed by the Church Treasurer; producing the Sunday bulletin weekly; coordinating the production of all reports for the AGM; dealing with mail/correspondence;  maintaining the Members’ Directory; managing relationships with suppliers (e.g. utilities providers, alarm provider); handling facility bookings; printing and photocopying, etc.)
    2.  Planning and Co-ordination  – develop and manage a central diary of church events and activities; attend weekly staff meetings; provide administrative support as required for the church leadership team; maintain close liaison with ministry teams in the church in order to maximise the effectiveness of their contribution
    3. Communication – proactively support the Technology and Communications teams to ensure excellence in communication both across the church and more widely (e.g. overseeing event publicity, and ensuring that supporting flyers, etc, are produced and delivered on time and to a high standard); day-to-day maintenance of publicity screen in Café, church website, and social media
    4.  Facilities – manage and develop the office and any support staff to ensure the effective running of the church office, building, equipment and facilities.  To work closely with the Church Cleaner and Church Building Manager, and to liaise with the appropriate authorities/tradesmen to ensure that the fabric of 70 Main Street is adequately maintained
    5.  Legislation – ensure day to day compliance with relevant charity, employment, data protection,  PVG and health and safety legislation. Oversee all health & safety related matters on behalf of the church. Ensure compliance with church governance requirements
    6.  Information Technology – oversee the computer systems/network at 70 Main Street, maintaining close communication with all users.  Ensure the security, appropriate protection, and good management of data held

Other duties and responsibilities

  1. Encourage good practice (e.g. reviewing of Job Descriptions, annual review and appraisal system of staff) and ensure day to day legislative compliance in human resource management in collaboration with the church leadership.
  2. Develop other areas of involvement in the church as appropriate, depending on the particular gifting of the post holder.

Relationships

The Operations Manager will report to the Teaching & Development Pastor (who is also an Elder).  Close co-operation is also essential with the rest of the staff team and with others who carry responsibility within the church.

Other requirements

As KCC is a Christian organisation, this post carries an Occupational Requirement in line with Equality Act 2010.  As such, applicants should be prepared to provide at least one reference from their current church minister/leader, to endorse a vital and active Christian faith and commitment.

The post holder will be committed to a clear evangelical understanding of the Christian faith and fully supportive of Kirkliston Community Church’s mission, vision and values.  Their beliefs will be in full accord with Kirkliston Community Church’s Statement of Faith and they will be happy to work within the church policies as set out in our “Members’ Guide” document.   It is envisaged that they will either be a current member of the church or will become a member.

Character, skills and experience

Essential

  • A humble attitude and a commitment to modelling godly relationships and prayerful dependence on God.
  • Highly motivated with a proven ability to make things happen.
  • Strong people skills and a vision to motivate and facilitate the contribution of other people.
  • Experience of active involvement in church life (not necessarily as a member of staff).
  • Strong team working skills.
  • Office experience with competent computer literacy and ICT, ideally including a strong working knowledge of MS Office (particularly Excel) and a basic knowledge/understanding of financial record keeping
  • The ability to prioritise and plan.

Desirable

  • Operations management / facilities management experience
  • Experience of managing volunteers
  • Experience of management in the charitable or church sector
  • Experience of event organisation

It is recognised that this Job Description will change over time as the role develops.  It will be reviewed and developed in discussion with the post holder as part of the process of regular appraisal with the Church Leadership Team.

Start date: Spring 2024

The post is permanent but probationary and mutually reviewable after 6 months

Basic salary: £32,000 to £36,000 per annum depending on experience

Paid Holiday: 25 days (plus 10 public holidays)

Period of notice:  3 months
