The James River Association (JRA) is seeking a full-time Database Manager to join the JRA Development Team.  The Database Manager is an important member of the fundraising team, who will manage all aspects of JRA’s Salesforce database and related software. Primary responsibility is ensuring optimal use of database to support development program goals including processing all donations and gift data, creating various reports, as well as managing donor correspondence, contacts with donors, grants calendar and solicitation schedules.

Founded in 1976, the James River Association (JRA) is the oldest and largest river conservation group in Virginia and the only organization solely dedicated to protecting and restoring the James River. JRA’s mission is to be the guardian of the James River – to provide a voice for the river and take action to promote conservation and responsible stewardship of its natural resources. To accomplish our mission, JRA’s two strategic goals include: 1) Achieving a fully healthy James River, and 2) Helping communities within the watershed realize the benefits of a healthy James River and support protecting it. 

The organization’s operating budget is approximately $3.7M, with 34 full-time and up to 16 seasonal or part-time employees working across Virginia in four offices, including the headquarters located in downtown Richmond, VA, with regional offices in Williamsburg, Lynchburg, and Scottsville. This is a hybrid position based in Richmond.

Summary of Job Responsibilities and Requirements

  • Assists the Development team with operations and data management by overseeing all functions of Salesforce and related applications.
  • Oversees the implementation of data entry standards and best practices.
  • Responsible for database maintenance, the overall accuracy, integrity and reliability of data, donor data management systems, and reporting processes.
  • Designs, builds, and delivers qualitative queries, reports, and lists to facilitate the work of the Development Team.
  • Follow guidelines for standard entry of donor information.
  • Utilize the CRM to its fullest capacity to meet fundraising goals effectively and efficiently.
  • Reconcile gifts between Nonprofit Success Pack (NPSP) and QuickBooks, in collaboration with our admin team.
  • Create and run accurate reports to help support all development efforts.
  • Enter and code all donations and data into Salesforce to include but not limited to checks, online giving, capital campaign, and matching gifts.
  • Managing and reporting on data related to grants including a schedule of deadlines for applications, reports, and relationship contacts.
  • In conjunction with other members of the fundraising team, record detailed information on donor visits, correspondence, and other communications.
  • Oversee data integrity and processes, management, and integrations with other software data collection systems.  Responsible for database administration, including overseeing users, training, and internal support.
  • Manage all donor acknowledgements.
  • Manage lapsed donor renewal and pledge reminder processes.
  • Ensure database accuracy of all donor records and produce reports that track monthly and year-to-year progress in areas such as response and conversion rates, participation, average gift size, donor retention, acquisition and related ROI metrics.
  • Other duties and requests as assigned.

Key Qualifications, Skills, and Abilities 

  • Bachelor’s degree preferred in information technology, data analytics or related field. Any combination of education and experience that demonstrates the knowledge and ability to perform the duties of the position.
  • Minimum of 2 years’ experience in data entry, collection and reporting using Salesforce (strongly preferred) or other CRMs; non-profit fundraising experience a plus.
  • Skilled with Microsoft Office, Google-based products – Drive, Docs, Sheets, Forms, etc.  
  • Successfully builds relationships by understanding organization and department goals. 
  • Promotes and adheres to JRA’s mission, vision and values; policies and applicable laws in a fair and equitable manner.
  • Represents the organization in a professional manner to all donors, vendors, and internal staff.
  • Valid driver’s license and reliable transportation.
  • Hybrid work environment – in office generally 2-3 (partial) days per week.
  • Successfully complete pre-employment background screening.
