The Deputy Director, Museum Services and Business Operations
ensures appropriate oversight of all Sarasota Art Museum
operations, including budgeting and financial controls. This
position reports directly to the Executive Director and is a key
member of the Museum’s Senior Leadership team within Ringling
College of Art and Design. The incumbent manages operations and
works collaboratively with other Museum leadership and staff
members to develop and implement strategic plans and ensure the
smooth running of the organization which includes a robust
education arm comprised of the Osher Lifelong Learning Institute of
Ringling College (OLLI) and studio and digital art programs.

 

Under the guidance of the Executive Director, this position has
authority over operations of the Sarasota Art Museum including
budget management, contract vendor oversight, revenue generating
programs, museum-wide policy setting, day to day operations, and
long-range strategic financial planning for the
organization. 

 

DUTIES AND RESPONSIBILITIES:

  • Accounting – Provides oversight of aspects of SAM’s
    fiscal operations including management of the annual budget,
    accuracy of financial accounting, financial analysis, preparation
    of financial forecasts, and the prudent and responsible allocation
    of resources. Act as a liaison to College administration regarding
    finances and contracted relationships.
  • Revenue Generation – Supports the Executive Director in
    modeling expectations for earned revenue generation and uses data
    to develop forecast models and project annual attendance and
    revenue targets. Strategize across departments with the Executive
    Director and key staff to implement organizational and program
    innovation in service of current operations and strategic new
    directions.
  • Administration/Operations Management – Provide
    leadership and oversight for the day-to-day functioning of the
    Museum’s visitor services, membership, events, and retail
    operations, ensuring effective management of these key areas;
    manage service contracts related to special events and food
    service. Lead a continual evaluation of the Museum’s policies and
    procedures. When necessary, establish new policies, procedures, and
    best practices to address deficiencies and improve operations, with
    input of colleagues as appropriate.
  • Supervision – Responsible for managing direct reports
    and aligned staff including assignment of work, evaluating
    performance, coaching & mentoring, counseling, and discipline
    as necessary.
  • General administration – Responsible for steadily
    improving operational efficiencies through appropriate business
    processes, space planning and use, museum security, and the
    development/enhancement of revenue streams (i.e., admissions,
    retail, functions); ensures financial/administrative compliance
    with Ringling College policies and procedures and responsible
    stewardship of gifts and sponsored awards; leads or participates in
    a variety of museum projects.
  • Collaboration – Work in concert with Ringling College
    departments to ensure effective coordination and implementation of
    shared services that support Museum Campus operations including
    Human Resources, Institutional Technology, Facilities, Public
    Safety, Business Affairs.
  • Data and Performance Measures – Manage data collection
    for financial and visitor information in order to assess
    organization performance and inform decisions.
  • Advancement – Support the Executive Director and
    Advancement Team on fundraising for exhibitions, projects, fund
    development, grant funding opportunities, and donor
    cultivation.
  • Other responsibilities and duties as assigned.

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong planning and budgeting skills.
  • Working knowledge of non-profit accounting and finance,
    operations, facilities, earned revenue divisions, and non-profit
    policy compliance systems.
  • Excellent interpersonal skills with ability to successfully
    interact and collaborate with varied constituencies.
  • Ability to interact respectfully, collegially, and
    professionally with all employees and volunteers at all levels of
    responsibility.
  • Strong work ethic.
  • Ability to maintain strict confidentiality.
  • Excellent verbal and written communications skills including
    presentations to stake holders.
  • Excellent project management and organizational skills
    including follow-through.
  • Ability to develop business and operational processes using
    industry best practices.
  • Strong computer skills including familiarity with databases and
    Microsoft Office applications such as Word and Excel.

EDUCATION AND EXPERIENCE:

Minimum:

  • Bachelor’s Degree in Business Administration, Finance, Cultural
    Administration, or museum-related field, and at least 5 years of
    managerial experience, or an equivalent combination of education
    and experience.
  • Experience in financial reporting and presentation,
    administration and preparation of grants and proposals, as well as
    contract negotiation.
  • Significant team-building and supervisory experience in
    non-profit environment, preferably working within dynamic cultural
    organizations.

 

Preferred Qualifications:

  • MBA or advanced finance-related degree.
  • Proven strength in institutional strategy, planning, and
    project management.
