Position Overview
We seek an energetic self-starter with a commitment to environmental stewardship and community engagement for an integral support role on our team. Working collaboratively across the organization, the Development Coordinator will perform a wide variety of routine to complex administrative, data support and customer service activities to primarily support development efforts. This position requires a highly organized, detail-oriented individual with exceptional multi-tasking and communication abilities. Reports to: Development Director

Responsibilities
Development Systems Support
• Manage CRM database (Humanitru) to ensure data integrity and quality; work with database contractor on updates, integrations and troubleshooting
• Ensure accurate and timely cash gift, in-kind gift, and contact data entry
• Generate lists, exports and reports using routine and custom queries
• Keep CRM SOPs current and write news ones as needed
• Train and support staff on database use as needed
Fundraising Support
• Ensure accurate and timely handling and acknowledgement of gifts
• Assist with the implementation of fundraising activities and campaigns, including revenue tracking and reporting
• Track corporate program participation and report on outcomes
• Coordinate logistics and lists for physical mailings and electronic supporter communications
• Assist with preparation of materials and presentations for outreach and meetings
Grant Administration Support
• Accurate and timely tracking of deadlines, applications and reports using a comprehensive grants calendar and CRM database
• Support the grant application process by gathering necessary documents and ensuring timely submissions
• Maintain organized and up-to-date electronic grant files
• Manage small (<$5,000) grants from prospecting to final submission
• Liaise with Finance staff for smooth data-sharing between the donor database and the accounting system (Quickbooks)
Board Administration
• Coordinate logistics for Board-related events and meetings
• Maintain annual Board meeting and committee calendar
• Maintain all Board records, including signatures and archiving of official documents
• Update Board documents, contact sheets/rosters and handbook annually
• Track Board involvement, including collecting annual commitment forms, sending informational updates and producing an annual report of Board involvement
• Assist board members with questions and requests, as needed
Event Planning Support
• Assist with planning and all logistics of fundraising events, including vendor relations, auction item acquisition and other activities
• Serve on the event committees to assist in the planning and coordination of events
• Proactively handle any issues or problems that arise on the event day
•Assist with event evaluations and progress/outcomes reporting
In-Kind Program
• Manage process for in-kind procurement including planning, coordination with staff, solicitation and tracking
• Train staff on in-kind procurement process as necessary
• Secure, as assigned, in-kind donations to support projects and events
• Track all incoming in-kind donations, including data entry and donation forms
• Organize donated items for program staff to use on projects
Other
• Support cross-departmental efforts and provide administrative and data support for other programs and special projects as needed/assigned
• Engage in professional development opportunities to gain knowledge of the nonprofit sector and the field of fundraising
• Maintain discretion and confidentiality in professional relationships
• Schedule flexibility, with attendance at evening and weekend events, is required.
Qualifications
Experience
Two years of administrative experience preferred. Demonstrated experience and skills in:
• Effective written and verbal communication
• Attention to detail and high level of accuracy
• Proven time and schedule management
• Computer skills, including proficiency in Microsoft 365 and data entry
Preferred experience and skills in:
• Database management
• Vendor management
• Event planning
Required Qualities and Abilities
• Willingness and commitment to support VOC’s mission of environmental stewardship and public engagement
• Ability to work well under pressure and effectively handle difficult or sensitive situations
• Ability to maintain a high level of confidentiality
• Ability to self-initiate and self-direct workflow
• Valid Driver’s License
• Qualifying pre-employment background check
Physical Requirements
Job duties include a general office environment, spent sitting and operating a computer and other office machinery. Must be able to read, write and communicate fluently in English.
Compensation
VOC offers a flexible schedule that includes the opportunity to work remotely on certain days. This is a full-time, non-exempt position. The wage range for this position is firm at $20.00 – $22.00/hour. VOC offers generous benefits including 100% employer-paid health and dental insurance, up to a 4% match on a 403(b) retirement plan, paid vacation and sick time, and more.
