Summary: The Manager of Administration and Board Relations supports the Chief Executive Officer, President and Co-Founder, and the Board of Directors to facilitate the effectiveness and productivity of the organization, and is responsible for supporting cross-departmental alignment and delivery of Farm Sanctuary’s strategic priorities. This role reports to the CEO and works closely with the CEO, President, Board of Directors, senior leadership team, and throughout the entire organization, as needed.

Responsibilities:

CEO and President Management & Support:

  • Manage CEO and President’s schedules and varied obligations to the Board, senior leadership, staff, donors, and other external constituents.
  • Work with the CEO, President, and Communications team to deliver internal and external communications.
  • Support the CEO and President in responding to and prioritizing incoming requests.
  • Support special projects as directed by the CEO – including projects and tasks that do not fit neatly within the organizational chart or fall between departments’ or leaders’ areas of responsibility, as needed.
  • Ensure CEO and President projects are tracked in ASANA.
  • Set up internal and external meetings for the CEO and President as needed.
  • Review and monitor budgets for meetings (i.e. in-person board meeting, and other special events, including President and CEO speaking engagements) as needed

Board Management:

  • Support the implementation of short- and long-term Board deliverables with oversight from the CEO, President and Board Chair, Board Committees, and FS Executive staff.
  • Work with the CEO and members of the staff leadership team to activate individual Board engagement plans and ambassador roles.
  • Support the General Counsel and Board Governance Committee; ensure the integrity and compliance of the governance framework; and manage the Board’s online document portal and organization of corporate records.
  • Help develop Board agendas and materials for all Board of Directors and Committee meetings (approximately 14 meetings annually).
  • Take minutes for board meetings and committee meetings.
  • Manage scheduling of Board and Committee meetings and meeting logistics.
  • Serve as liaison and main point of support for the Board of Directors, President, and CEO.
  • Lead Board special initiatives as directed by the CEO.

Strategic Planning Administration:

  • Track strategic plan to goals reporting update gaps to CEO for follow-up with department heads.
  • Lead to monitoring and evaluation of the impact and goals of the strategic plan including creating dashboards and reports for the CEO, President, and the Board that can ensure Farm Sanctuary remains focused on goals and mission

Executive Team Alignment:

  • Schedule regular meetings and retreats, and manage senior leadership team agendas and materials.
  • Compile quarterly Board reports with input from senior leaders.
  • Participate in the organizational dashboard process and provide key inputs for the Executive office.
  • Ensure Asana or current project management software is used when necessary to track senior leadership team projects and provide support on projects as needed.

Preferred Qualifications:

  • 5+ years of demonstrated project or executive support experience
  • Excellent diplomacy, interpersonal, and relationship management skills
  • Highly flexible and adaptable to ever-changing internal and external environments
  • Self-motivated team player
  • Ability to manage multiple projects, prioritize, troubleshoot, and follow through in a timely manner, ensuring projects are not dropped.
  • Excellent communication skills with staff, Board, and other constituents.
  • Attention to detail and a dedication to accuracy and quality
  • Excellent writing skills with impeccable grammar
  • Demonstrated expertise in leveraging cloud-based software platforms, such as G Suite (Google Docs, Sheets, Slides, Forms) and Microsoft Office (Word, Excel, PowerPoint), complemented by adeptness in CRM systems and extensive internet proficiency
  • Resourceful, proactive, reliable, trustworthy, and assertive when necessary
  • Ability to handle confidential information in a professional and discrete manner
  • Resilient and highly accountable; poise under pressure

Job Specifications:

  • Terms of employment: Regular, full-time, non-exempt (hourly) position
  • Location: Remote
  • Pay: $31 – 34 per hour
    • Farm Sanctuary adheres to a non-negotiation philosophy regarding compensation and benefits outside the posted pay in our commitment to equitable hiring practices.
  • Reports to: Chief Executive Officer
  • Direct reports: None
  • Travel: Ability to travel as needed, including travel to one in-person board meeting per year in CA or NY
