This position is located in the Executive Office of the Department of Public Information in New York. The Executive Office is responsible for all financial, personnel, and general administrative matters. The incumbent will report to the Deputy Executive Officer or Executive Officer.
Responsibilities
Within delegated authority, the Associate Administrative Officer will be responsible for the following duties:
- Provides the HR Unit in the EO with guidance on the availability of funds with regards to RB XB, and income-generating positions.
- Monitors the staffing table allotment to ensure staffing levels of the department is in accordance with the approved budget.
- Monitors budget/work program with respect to Headquarters’ budget on a regular basis, and reallocates resources as necessary.
- Performs certifying functions for official travel, source to acquire, payment of invoices, including for vendors and individual contractors.
- Liaises with divisions of the department and PPBD in preparation of cost plans, allotment and redeployment requests.
- Monitor the resources for IT Self Assist Services provided by OICT
- Serve as the focal point in the EO DGC for all matters pertaining all income sections of DGC, the support account and cost recovery.
- Prepare monthly financial reports on budget consumption for all DGC areas, including UNICs, and prepare monthly projection of staff costs.
- Performs other administrative duties as required
Education
- An advanced university degree (Master’s or Doctorate degree, or equivalent) in business or public administration, finance, accounting, law or related fields is required. A first-level degree (Bachelor’s degree or equivalent) in the specified fields of studies with two additional years of relevant work experience may be accepted in lieu of the advanced university degree.
Work Experience
- A minimum of two years of progressively responsible experience in administration, finance, accounting, human resources management or related area is required. Experience using organizational ERP tools, such as Umoja or equivalent, and recruitment tools, such as Inspira or equivalent, is required. Experience in creating tables and charts in Microsoft Excel, and creating flowcharts is required. Experience in an Executive Office or front office environment within the UN common system or similar international organization is desirable. Experience in managing large staffing tables is desirable.
Languages
- English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
