The position of Associate Global Real Estate and Property Coordinator is assigned to the Institutional Services Division within the Corporate Services Department. You will be based at our Resident Mission Office in Thailand.
The incumbent will report to the designated International Staff and senior National Staff.
As an Associate Global Real Estate and Property Coordinator you will provide technical and operational support in the planning and implementation of real estate and facilities improvement, expansion, construction, and/or relocation projects for ADB’s Field Offices (FOs). You will work in close liaison with CSIS’s Field Office Support team and consultants and will collaborate in a geographically spread team across Asia-Pacific. You will also support the day-to-day monitoring of contracts and operations.
- Assist and support the coordination and execution of real estate development and facilities improvement projects from inception to completion.
- Maintain project documentation, including contracts, permits, plans, presentations, and correspondence, ensuring accuracy and completeness.
- Coordinate meetings, appointments, and site visits for project team members, stakeholders, and contractors.
- Serve as a point of contact for project-related inquiries, both internally and externally.
- Prepare and distribute project status reports, updates, and presentations to stakeholders.
- Assist in budget tracking, expense management, and invoice processing for project-related activities.
- Assist in preparing standard procurement documents for both technical and construction services and assist in the procurement process from a technical and administrative perspective. Assist the contract lifecycle, from initial negotiation to contract closeout. Monitor and ensure compliance with contractual obligations.
- Assist in monitoring and evaluating leases of FOs and coordinate recommendations with the Field Office Team for discussion with regional departments.
- Maintain the database of information related to the global real estate for FO projects and coordinate the collection of statistical information to produce various management-related reports on regular or ad hoc basis.
- Prepare and consolidate assessment reports of major facilities projects of FOs.
- Collaborate with various internal departments, including procurement, IT, security, asset management and information resources to ensure alignment and integration of project activities.
- Contribute to the continuous improvement of project management processes and procedures.
- Provide clear and timely reporting to the designated International Staff and other senior officers, as required, and effective collaboration with all team members.
- Perform other duties as may be assigned and/or reflected in the incumbent’s work plan.
Qualifications
You will need:
- Bachelor’s degree in business administration, mass communication, urban planning, economics, law, or a related field.
- Proven 5-year experience in a project administration or project coordination role within the real estate, construction, or related industry.
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Flexibility to adapt to changing project priorities and deadlines.
- Excellent attention to detail and accuracy in data management and documentation.
- Proficiency in project management software and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Project, SharePoint).
- Effective communication skills in English, both verbal and written, with the ability to interact professionally with stakeholders at all levels.
