ADMINISTRATIVE CONTEXT :
- This position is to be filled in the WFP Mauritania country office. The incumbent must ensure centralized administrative support functions and provide administrative support to the RAM team. The position will be placed under the supervision of the head of the RAM unit.
SPECIFIC DUTIES :
- The candidate will be highly involved in day-to-day activities, carrying out a wide range of tasks and management support activities in a specialist business area to contribute to effective service delivery:
- Gather information for inclusion in reports, letters and various other documents to help other staff members work effectively.
- Answer common questions and provide timely and specific guidance.
- Process and manage routine administrative and financial tasks including the processing of supporting documents submitted by implementing partners in various functional areas to contribute to efficient and timely management of resources.
- Manage and populate files and databases to ensure information is structured and can be easily accessed by staff.
- Maintain relationships with other units and external partners by providing management support to facilitate information sharing and service delivery to staff.
- Proofread reports, letters and various other documents, correcting them as necessary according to established guidelines.
- Contribute to the evaluation and improvement of operating procedures.
- Collect data and perform simple analyzes to contribute to effective management information management.
- Ensure the organization and coordination of internal meetings and with partners and the preparation of reports and monitoring tables of decisions taken at the end of these meetings.
- Support the management of partner agreements and contracts with RAM service providers, including roster management of RAM investigators in close collaboration with human resources
- Perform all other related tasks.
QUALIFICATION & LEVEL OF EXPERIENCE REQUIRED:
Level of education :
- Completion of secondary education in functional areas considered with five (5) years of experience, in management, administration, logistics in other related fields.
Experience desired for the position:
- Have experience with administrative tasks such as diary management, document preparation, record keeping and correspondence management.
- Ability to organize meetings, events and travel, and coordinate associated logistical activities.
- Excellent written and verbal communication skills, including drafting professional emails, reports and documents.
Skills and success factors:
- Proficiency in Microsoft office tools.
- Knowledge of common procedures and methods to carry out the required work under minimal supervision.
- Ability to demonstrate tact and courtesy when exchanging information with people from diverse backgrounds.
- Ability to spot anomalies in data and correct issues requiring attention.
- Ability to provide guidance or basic on-the-job training to less experienced staff members.
Languages :
- Mastery (level C) of fluent oral communication in French.
- A working knowledge of Arabic and/or English will be highly desirable.
