The Budget Coordinator plays a vital role in our expanding Budget Office team. The incumbent is responsible for managing the budgeting cycles of Welcome Corps (WC) and Welcome Corps at Work (WCW) in their portfolio. In addition, Budget Coordinator prepares and provides budget review, analysis, and technical support for various budget schedules and grant management. Additionally, the incumbent will be responsible for developing expenditure tracking tools in Excel, verifying supporting documents, and ensuring payments are made in line with financial rules and regulations of IRC and Donor, and budget limits. The Budget Coordinator further assists the RAI Budget and Finance Officer with the financial management WC and WCW programs. This includes budget preparation, drafting budget narratives, running BvAs (Budget vs. Actuals), and analysis of cost trends for ad-hoc financial reporting needs. The Budget Coordinator will be reporting to the RAI Budget and Finance Officer and work closely with other RAI staff and external partners.
Major Responsibilities
- Serve as primary contact for assigned portfolio, providing financial analysis, technical support, and guidance related to the WC and WCW operational budget exercise.
- Support budget creation, budget projections, and analysis of expenses as needed for Welcome Corps and Welcome Corps at Work.
- Work with the Program and Finance teams to streamline internal financial reports and reporting processes to deliver more efficient, effective, and applicable reports and analyses.
- Prepare, review, and distribute monthly BvA reports with the assigned program team and others. Document and address issues requiring attention and/or further discussion.
- Provide training to staff on budget management processes and systems if required.
- Support internal and Donor monitoring for financial matters, including addressing Donor requests for support documentation, files, policies, procedures clarification, etc.
- Other duties as assigned by manager.
- In collaboration with other team members, ensure that services are delivered efficiently, effectively, and courteously and timely.
Job Requirements
- Bachelor’s Degree; advanced degree a plus.
- 2-3+ years of experience in managing budgets and spending in refugee resettlement field; demonstrated in-depth knowledge of the US resettlement program.
- Advanced computer skills: Advanced knowledge of Microsoft Excel and all MS Office applications; experience with cloud-based planning tools, PowerBi and ERP systems is desirable.
- Excellent written and oral communication skills: the ability to communicate effectively with colleagues and partners.
- Multi-cultural sensitivity and ability to work as a member of a team.
- Strong organizational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines; exceptional attention to detail.
- The ability to be flexible and work well under pressure in a fast-paced team environment; aptitude for ongoing learning and adjusting to frequent changes in processes.
