The Senior Officer contributes to the smooth running of the team by providing administrative and/or budget-related support to team members, interacting with colleagues Bank-wide, as well as external clients and institutions.
Background
- The Office of the Chief Compliance Officer protects the reputation of the Bank by ensuring high standards of integrity, ethics and governance are applied to all activities of the Bank in accordance with international good practice. In particular it advises on integrity risk, corruption, money laundering, conflicts of interest and ethics matters.
- The Senior Officer role provides administrative support to the whole team, including some or all of the following: travel arrangements, training administration, reporting, committee submissions, and meeting and event arrangement. The Senior Officer position will often include Budget, Records Management, Human Resources and IT coordination.
- This role will involve dealing with the Chief Compliance Officer, Managers, other colleagues within the team and other EBRD departments.
Accountabilities and Responsibilities
- The Senior Officer supports, works on and resolves, in a collaborative spirit, any matters assigned and has some or all of the following accountabilities and responsibilities:
Administration / Secretarial:
- Diary management for Director / Head of Unit – arranging internal and external meetings, conference calls and responding to meeting requests
- Assist with preparation and editing of internal documents to be submitted to the Bank’s committees (e.g. Audit Committee, OpsCom, SBIC) where applicable
- Inbox Management: Manage internal/external correspondence/requests including drafting responses for review, forwarding for action within the team and interfacing with other departments to ensure that follow-up action is taken
- May act as IT Coordinator (ITC), Records Management Coordinator (RMC) and Human Resources Departmental Coordinator
- Maintain and manage data including in EBRD-specific applications (e.g. OCCOLink, DTM etc.) to ensure accuracy of Bank records
- Assist in co-ordinating facilities, catering and technical assistance for internal/external meetings/training sessions
- Identify opportunities to improve departmental processes and outputs to ensure they are kept up to date and fit for purpose.
- Arrange all elements of travel according to EBRD policy including arranging visas, accommodation, ordering currency and preparing itineraries as well as claiming expenses.
- Manage administration of OCCO training courses, ensuring internal and external audit requirements are met.
- Manage administration of OCCO Case Management software
- Conduct ad-hoc administrative tasks as required to support the smooth running of the wider OCCO Department
- At all times, act with a “can do” attitude
Budget:
- Support the OCCO budget officer with routine budgetary functions for the Team
Reporting:
- Assist with and coordinate requests for updates to the department’s intranet / internet pages.
- Assist with the production of reports and presentation material, undertaking secondary proof-reading and editorial work.
- Perform specific data-based analytical work to provide essential information for the production of reports
Knowledge, Skills, Experience and Qualifications
- Proven track record of relevant business experience.
- A recognised secretarial or business qualification would be useful, but is not essential
- Fluent English, with excellent written and oral communication skills
- Knowledge of another language, both written and spoken, would be useful
- Excellent written and oral communication skills, relevant experience in a similar role
- Good level of numeracy
- Strong organisational, administrative and analytical skills
- Self-motivated with the ability to work independently and to prioritise and schedule tasks
- Attention to detail and eye for accuracy
- Ability to work as part of a team where tasks are allocated by the line manager, willingness to support the wider team and assisting and collaborating with colleagues in the Support Unit.
