Functional Responsibilities

Portfolio Management Support / Reporting/Coordination
-
Prepare written summaries of meetings/visits and to allow relevant team members to implement follow-up actions, as appropriate.

Provide support for high-quality summary and analytical reports including, but not limited to, project reports, annual reports, situation reports, briefing notes and UN reports.

Input and update accurate data and information into tracking sheets, dashboards, etc. to facilitate monitoring project activities
-
Monitor all new developments of policy, rules and tools in UNOPS in relation to project implementation; communicate changes to the relevant personnel in the Project Unit in a timely manner
-
Monitor the reporting requirement of all projects in the portfolio to the client; review and assist in finalizing project reports and submitting them on time in collaboration with project managers.

Input and update accurate data and information into tracking sheets, dashboards, etc. to facilitate monitoring project activities

Ensure accurate data and document entry into UNOPS ERP system and OneUNOPS Projects as required

Undertake the organization of meetings, appointments with beneficiaries, stakeholders and other relevant mine action partners in support of the Portfolio Manager and the Deputy Portfolio Manager Planning and of visiting delegations as directed.

Support the preparation of formal meetings by drafting and editing agendas, meeting minutes, slideshows and other supporting documentation.
Knowledge management

Maintain records of programme files and other necessary programme documents such as documentation of decisions and actions taken on programme issues.

Identify, contribute to, record and share the ongoing development and implementation of best practices, lessons identified and innovative approaches to improve overall programme performance.

Contribute to the management and upkeep of risk management and issue management logs and processes.
-
Support the compilation of lessons learned, SOP’s, best practices, etc. on all operational matters such as grant and contract management, etc.

Contribute to the dissemination and sharing of best practices and lessons learned for planning and knowledge sharing; assist in coaching new team members and field personnel, if needed

Maintain records of project files and other supporting docs; monitor that filing in Project Units is up to date and compliant with PSC filing SOP
Translation and other duties
-
Provide translation during meetings and/or of written documents from Ukrainian to English or from English to Ukrainian as required.

Support the drafting and translation of letters, communication items and other products of the programme team.
Education/Experience/Language requirements
- Advanced university degree (master or equivalent) in a relevant field with two years of relevant experience, OR
- First level university degree (bachelor degree or equivalent) with four years of relevant experience.
- Relevant experience is defined as experience in programme/project development or management, in either public or private sector organizations.
- Experience in the UN system is required.
- Experience in mine action is desired.
- Experience in information management is desired.
- Fluency in English is required (read, write and speak)
- Fluency in Ukrainian is required (read, write and speak)
