Position : Logistics Assistant
Duty Station : Anbar / Ana
Function prerequisite:
The Logistics Assistant is part of the project support team and logistics department under direct supervision of the Logistics Officer. The position requires:
- Knowledge of logistics matters.
- Excellent cooperating ability, both with national and international personnel.
- Written and spoken proficiency in Arabic, basic knowledge of English.
- Basic proficiency in using common computerized software, at minimum Microsoft Office.
- Communicative, mature, responsible and attention to detail.
General responsibilities:
The Logistics Assistant supports the project and logistics department in procurement, vehicle fleet, asset and warehouse management. The LA does this under direct supervision of the Logistics Officer, and with full respect for compliance to relevant guidelines, policies, and processes.
Responsibilities:
- Coordinate and raise purchase and/or payment requests based on identified needs in a timely manner; and conduct procurement for others’ raised requests, in accordance with NPA and donor policies and procedures, in a transparent, accountable, efficient and cost-effective manner.
- Coordinate and facilitate receipt and issuance of inventory, assets, and/or stock, preparing and ensuring appropriate documentation is in place and registered in relevant databases/records relating to stock level, stock transactions, fixed assets lists, etc.
- Support regular servicing and follow up of vehicles, vehicle equipment (tools, commodities, etc.), generators, and other property maintenance in coordination with the Fleet Officer and/or Assistant.
- Ensure validity and accuracy of supporting documentation of contracts and payments, in line with logistics and finance guidelines.
- Proactively share information on team, departmental, organisational or governmental developments and challenges with the LO or other supervisory colleagues in LO absence.
- Any other task relevant to the department and role as requested by the LO, SLO, Project Manager or Deputy Programme Manager- Central.
Guiding Policies, Documents, and Principles
- Adhere to all NPA policies, regulations and procedures; including those specific to the department including, but not limited to; NPA global and Iraq MAD Logistic handbooks and guidelines, donor guidelines, NPA Iraq HR Policy and NPA Accounting Principles.
- Work within the framework of NPA core values.
- Act as an ambassador for NPA, through professionalism and conduct. This includes, as relevant, representing the organisation in a loyal and responsible manner.
- Follow all verbal and/or written instructions, unless in direct violation of safety and duty of care.
- Maintain and care for all equipment issued by NPA and for any loss or damage, being liable for repair or replacement in case of damage resulting from negligence.
- Ensure a safe workplace and protect all staff and equipment from damage/ injury.
Required qualifications:
Must have:
- Higher educational degree.
- Valid driving license (authorised for both manual and automatic transmission).
Desirable:
- Diploma, Bachelor degree and/or equivalent professional experience in logistics field.
Personal Competencies:
- Ability to function under pressure.
- Good interpersonal skills.
- Communication, negotiation and problem-solving skills.
