INTERNSHIP OFFICE BACKGROUND:
The UNDP Security Office (SO) is a trusted and client-oriented center of excellence for security risk management. The SO enables the delivery of UNDP’s programmes through the development and oversight of security policies and procedures and the provision of high-quality, timely, innovative, effective and efficient support and advisory services, while ensuring maximum security and safety.
Working with the Bureau for Management Services (BMS), under the leadership of the Security Office Director, as the designated Senior Security Manager for UNDP, the Security Office is responsible for the formulation of a cohesive security policy and for coordinating UNDP day-to-day response to staff safety and security, providing all the relevant actors with advice, guidance and technical assistance as well as acting as a focal point to the United Nations Department of Safety and Security (UNDSS).
The Security Office is responsible for providing effective Security Risk Management advice and support at all levels (HQ, Regional, Country Office and Project), within the overall UN Security Management System, thereby enabling UNDP operations, programmes, and personnel security.
Duties and Responsibilities
DUTIES:
Working in UNDP Bangkok Regional Hub (BRH) and under the direct supervision of the UNDP Regional Security Advisor (RSA), the Intern will support the team in different administrative and operational activities. Responsibilities include managing office and event logistics arrangements, as well as other operational tasks. The intern may be expected to travel within Thailand to support event and training initiatives.

- Preparation of administrative, financial, and operational documents.
- Maintenance of the BRH Security Team/Unit email, calendar, and contact list; arrangement of appointments and meetings; maintenance of protocol procedures.
- Coordination of information flow in the office; arrangement of on/offline team meetings.
- Preparation of informal translations and interpretations.
- Administration of procurement, supply, and asset management.
- Provision of technical support for the development and maintenance of internal digital tools.
- Screening of incoming calls and correspondence; arrangement of worldwide telephone and video conferences.
- Organization of events, meetings, workshops and conferences in coordination with other BRH and SO staff; support for international participants’ travel and logistics.
- Support for SO training initiatives and activities as a task force team member.
- Design, writing, editing, and proofreading of team working documents.
- Support for the Regional Security Advisor (RSA) and other teams with all aspects of office operations as needed.
- Provision of a wide range of support on operations and administration tasks.
- Support other/ad hoc activities as seen relevant and needed.

Required Skills and Experience
REQUIREMENTS AND QUALIFICATIONS
Education:
Candidates must meet one of the following educational requirements:
- currently in the final year of a Bachelor’s degree; or
- currently enrolled in a Master’s degree; or
- have graduated no longer than 1 year ago from a bachelor’s or master’s degree or equivalent studies.
Field of study: Administration, Security and/or Risk Management Studies or equivalent.
IT skills:
- Knowledge and a proficient user of Microsoft Office productivity tools.
Language skills:
- English and Thai required.
INTERNSHIP CONDITIONS
- UNDP will not pay interns for internship but will provide a stipend in the amount of THB 8,302.50 monthly in accordance with the provisions of the UNDP internship policy and any travel DSA as required; all other expenses connected with the internship will be borne by the intern or sponsoring Government or institution;
- UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship;
- Interns are responsible for obtaining necessary visas and arranging travel to and from the duty station where the internship will be performed;
- Interns are not eligible to apply for, or be appointed to, any post in UNDP during the period of the internship;
- Interns must provide proof of enrolment in health insurance plan;
- Interns are not staff members and may not represent UNDP in any official capacity;
- Interns are expected to work full time, but flexibility is allowed for education programmes;
- Interns need to obtain financing for subsistence and make their own arrangements for internship, travel, VISA, accommodation, etc.
