Organizational Context

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies. IFRC is led by its Secretary General, and has its Headquarters in Geneva, Switzerland. The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services.

IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat.

IFRC has a zero-tolerance policy on conduct that is incompatible with the aims and objectives of the Red Cross and Red Crescent Movement, including sexual exploitation and abuse, sexual harassment and other forms of harassment, abuse of authority, discrimination, and lack of integrity (including but not limited to financial misconduct). IFRC also adheres to strict child safeguarding principles.

The Driver and Administrative Auxiliary under supervision of the administration manager is primarily responsible for operating the Americas regional office vehicles, following the instructions provided by the line manager. The position will be located in the Americas regional office.

Job Purpose

The driver and administrative auxiliary is integral to supporting the operations of the Americas regional office by providing essential transportation services. Working under the coordination of the Administration manager, the tenant of the position ensures the smooth and secure transportation of personnel, equipment, and materials to designated locations. This includes adhering to all relevant transportation regulations and safety standards in accordance with IFRC fleet policies and local regulations.

Job Duties and Responsibilities

Transportation Services: 

  • Safely operate vehicles assigned by the organization to transport personnel, supplies, and equipment to specified locations as directed.
  • Carry out services, maintain punctuality and follow designated routes and schedules meticulously.
  • Employ defensive driving techniques and exercise caution to mitigate potential risks on the road.
  • Maintain absolute confidentiality regarding topics discussed in the vehicle.
  • Manage cash advance, expenses report. Related to fleet expenses or any requested purchases in accordance with the working advance policy.

Vehicle Maintenance:

  • Conduct regular inspections of vehicles to ensure they are in optimal working condition abiding by templates implemented by Federation.
  • Consistently record all activities in the logbook, ensuring accurate odometer mileage documentation.
  • Perform basic maintenance tasks, including checking fluid levels, tire pressure, and overall cleanliness.
  • Prepare monthly fleet reports (vehicles mileage, fuel consumption, vehicle maintenance etc..) in accordance with the fleet manual to be submitted to the fleet unit.
  • Promptly report and follow up on any mechanical issues or damages for timely resolution.

Safety and Compliance:

  • Adhere strictly to all traffic laws, regulations, and IFRC safety protocols while operating vehicles.
  • Uphold a clean driving record and always possess a valid driver’s license.
  • Stay informed about changes in traffic regulations and road conditions to ensure safe and efficient travels.

Administrative Duties:

  • License plate processing through the chancellery or the transit authority according to the request.
  • Ensure timely processing of insurance renewals or new insurance for the vehicles.
  • Vehicles annual inspections to process the license plates.
  • Cancel registration of vehicles as per request
  • Perform other tasks related to the administration department as needed or required.

Education

  • Completed High School studies 
  • Completed bachelor’s degree or higher studies, preferred.

Experience

  • Minimum of 5 years work experience as a driver
  • Management of windows environment (word, spreadsheet etc..) 
  • Hold a valid driving license
  • Facilitates travel missions within the country, ensuring timely and safe transportation for personnel and equipment as directed by the organization
  • Demonstrated experience as a driver, preferably in a similar capacity within an international organization, preferred
  • Experience working with the red cross movement, preferred

Knowledge, Skills and Languages

  • Capability to work independently and collaboratively within a multicultural team environment.
  • Familiarity with local road networks and a thorough understanding of traffic regulations.
  • Strong organizational abilities and meticulous attention to detail.
  • Willingness to adapt to flexible work hours, including evenings and weekends, as necessitated by operational requirements.
  • A commitment to maintaining a high level of integrity, discretion, and personal conduct.
  • Knowledge of automotive systems, including engines, transmissions, brakes, and electrical components, preferred.

Languages 

  • Fluently spoken and written Spanish 
  • Fluently spoken and written English or other Federation approved languages, preferred.
