Overview of position |
CTG is looking for a contractor whose experience matches the below TOR.
|
Role objectives |

Implement records inventory locate, identify, describe, count & measure all records series created & held by different mission offices.

Arrange the records & documents according to the records series; implement records retention & disposal schedules, dispose of obsolete records & transfer records with long term value to our clients records center.

Participate in processing the received records in the records center: registration, labelling & arrangement based on the archiving guidelines, prepare the documents for digitisation.

Implement digitization of records for various sections, preparing the files, scanning, creating metadata, capturing the records in the records management system & performing quality assurance.

Participate in the preparation of records transfer of the archival records to UNARMS.

Be part of the team responsible for rolling out the information & records management program across the mission, which will involve business needs assessment, file plan development, staff training & system commissioning.

Participate in upgrading TRIM to Content Manager, Integrating Content Manager with Share Point & implementing post configuration of Content Manager based on changes made on sections file plans, install the Content Manager client application on the information focal points computers in collaboration with FTS – SMU.

Customize the Content Manager & Share Point records class, modify record titles, record types & metadata formats as agreed upon by sections.

Assign staff access rights to various office functions as agreed by the sections; create new index files / containers / archive box labels (barcodes) per theme & level identification rules as set out in the file plan.

Implement an electronic records management system using TRIM / Content Manager & Share Point by ensuring that electronic records & emails are accurately captured & managed during the file plan rollout, participate & guide staff in offline data migration to the information & records keeping platforms.

Troubleshoot the information & records management systems in collaboration with SMU; carry out & provide user support & resolve complex user problems related to IRM platforms, Content Manager & Share Point online.

Participate in training the end users on IRM principles, practices & the use of the tools.

Provide reports, statistics & progress of the activities & perform other assigned duties.

Key competencies |

A high school diploma or equivalent is required.

A completed course in information management, records management, archival studies, or library sciences is also required.
-
Knowledge & experience in information management, records management, electronic records management, Electronic Documentation Management Systems (EDMS), database management & / or library systems are required.
