Position Title: Public Relations Coordinator

Duty Station: Doha, Qatar

Classification: General Service Staff, G-7

Type of Appointment: One Year Fixed Term, with possibility of extension

Estimated Start Date: As soon as possible

Context

Under the overall supervision of the Head of Resources Management (HoRM) in Doha, Qatar and direct supervision of the Administrative Officer (Staff Support) and, in collaboration with relevant units in IOM Qatar, the incumbent will be responsible and accountable for successful coordination of the issuance and updating of official documents for the staff members.

Responsibilities

  • Coordinate the processing, submission and follow-up of all the organization transactions with the government sectors (Ministry of Foreign Affairs, Ministry of Interior to name few).
  • Coordinate the submission of all visas & work permit cards with government office as well as the immigration department.
  • Coordinate the process all renewals of driving license with traffic office.
  • Attest documents before the ministries and embassies whenever required and deliver any correspondence to governmental authorities or companies.
  • Coordinate the issuance and the updating of official documents of the Oganization (i.e. traffic department, municipality, customs clearance etc. to name few);
  • Liaise with authorities to ensure Organizaton compliance to local laws and regulations.
  • Keep updated on labour regulations changes that may affect visa processing.
  • Liaise with all government institutions with regards fines, penalties or any inquiry.
  • Coordinate with IOM Qatar Senior Management Team on status of staff visas, Qatar IDs, and transfer of ID from previous employer to IOM.
  • Assist project teams in arranging high level meetings with high-ranked Government, Embassy and Corporate of Private Sector Officials.
  • Assist Senior Management by sharing updated policies and priorities of Government for development of liaison strategies and also to ensure that all Privileges and Immunities agreed between IOM and Government through the Cooperation Agreement are received by the mission.
  • Coordinate with the Resources Management Unit to verify that all Privileges & Immunities agreed between IOM and Government through the Cooperation Agreement is received by the mission
  • Perform other duties as required.

Qualifications

Education

  • High school diploma with seven years of relevant experience; or,
  • Bachelor’s degree in Law or related fields from an accredited institution with five years of relevant professional experience.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • In-Depth knowledge of, and experience with, dealing with local government departments.
  • Working knowledge of Qatar labour regulations and governmental for authorities
  • Strong problem solving skills
  • Ability to multi-task and prioritize
  • Ability to build strong relationships
  • Experience working in Qatar is required

Skills

  • Excellent communication and writing skills both in Arabic and English.
  • Experience in Public Relations/Communications is an advantage.
  • Eye to details and acute organization skills.

Languages

IOM’s official languages are English, French and Spanish.

  • For this position, fluency in Arabic and English is required (oral and written).

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
