The Development and Outreach Department of Human Rights Watch (HRW) is seeking candidates for the position of Associate in the New York office. The New York office serves as an important base for HRW’s development, fundraising, and outreach activities in the New York City area. The New York Associate provides detail-oriented administrative support to the Development and Outreach team, with a focus on managing and organizing the Salesforce database while also collaborating on all communications, administration, and event coordination. The Associate will participate in team meetings and will have opportunities to attend trainings and events related to human rights, as well as network with colleagues around the world.   

Some evening and weekend work will be required for events. The Associate will report to the New York Associate Director.   

We aim to be as flexible and supportive as possible in both the recruitment for and onboarding of this position.    

Responsibilities: 

Database & Fundraising Operations:  

  • Support the work of frontline fundraisers by maintaining key databases, spreadsheets, dashboards, and pipelines, and generating reports as needed to help track and analyze fundraising progress;  
  • Maintain the team’s Salesforce and Marketing Cloud database, ensuring accuracy, integrity and confidentiality of sensitive data;  
  • Coordinate gifts from donors under various campaigns, record donations in the database upon receipt, and draft and track the status of gift acknowledgement and thank-you notes as required;  
  • Create and update donor profiles with relevant communications and information, including donor interests, and event and campaign participation;  

Event Coordination:

  • Assist with the production of fundraising, outreach, and cultivation events in New York, including HRW’s annual Voices for Justice celebration, the team’s largest fundraising event of the year;   
  • Prepare all communications for city events, including creating email invitations, tracking RSVPs and attendance, sending reminders and follow-up emails after events;  and 
  • Support event logistics as needed including volunteer management, vendor interactions and more.

Donor Communications and Prospect Research:  

  • Contribute to the development of written content and designed collateral for events, mailings, and regular donor communications, including the bi-weekly committee digest; and 
  • Support relationship management efforts by providing materials for engaging members’ networks, managing and conducting prospect research, and preparing donor briefings for donor and prospect meetings. 

Team and Committee Administration:   

  • Provide administrative support to the team by scheduling and preparing agendas at weekly team meetings; updating team files and folders; and liaising with other internal teams to maintain processes;  
  • Provide support to ensure effective operation of the NY Committee including scheduling, preparing materials for, and taking minutes at meetings, responding to inquiries, preparing and updating membership materials and lists, coordinating physical mailings; and helping with logistical arrangements as appropriate;  
  • Maintain office inventory to ensure the team has event supplies, donor gifts, merchandise, and other materials as needed;  
  • Process and pay invoices for all contractors, vendors, honorariums, and other Development team transactions;  
  • Assist with the recruitment and orientation of interns if applicable, and provide guidance as needed;  
  • Perform other duties as required.   

Qualifications:

Education:

  • A bachelor’s degree or equivalent work experience in human rights, international relations, social science, or a related field is preferred  

Experience:

  • A minimum of one year of relevant work experience is required.   

Related skills: 

  • Professional experience using Salesforce or similar database systems is desired.
  • Prior office/administration experience and strong organizational skills is required.   
  • Excellent oral and written communication skills in English is required.
  • Ability to work well under deadlines while juggling multiple tasks simultaneously is required.
  • Proficiency in computer packages including MS Office applications is required.   
  • Any of the following skills would be considered an asset, but are not required: fundraising experience, HTML, basic graphic design, or grant writing.
  • Strong interest in international human rights, event management, and fundraising is desirable. 
  • Strong interpersonal skills and the ability to communicate with a variety of audience is desirable.
  • Self-motivation and the ability to prioritize with minimal supervision and work independently as well as function as a member of a team with staff in locations globally is desirable.
