The Executive Assistant to the CEO (EA) position directly supports the President & CEO and will be an energetic and well-organized individual with an excellent work ethic and interpersonal skills. The EA provides support to our President & CEO and will be the primary point of contact for all matters pertaining to the office of the President & CEO and will serve as a liaison with the Board of Directors. The EA should always be able to use sound judgement, have outstanding organizational skills, demonstrate exceptional verbal and written communication skills, prioritize and multi-task all tasks by importance, the ability to thrive under pressure, and maintain confidentiality of all sensitive matters.
This role requires flexibility and adaptability, as the Executive Assistant will need to accommodate dynamic schedules and extended hours to support the President & CEO. The position involves engaging with members, board of directors, and program stakeholders across multiple time zones, requiring responsiveness and coordination outside traditional office hours.
This position is based in Washington, DC and is not a remote position.
Essential/Primary Functions
- Provide comprehensive support services to the President & CEO that ensures outstanding communication and responsiveness.
- Act as the point of contact for the executive office for both internal and external persons.
- Serve as liaison to the Board of Directors, attend meetings and record minutes.
- Review, prepare and/or edit correspondence, presentations, reports, and memos, some of which may be confidential.
- Conduct research and analysis on issues of interest to the President & CEO.
- Provide support in strategic communications, organizational strategy, and all other special projects as assigned.
- Coordinate with other departments as needed, providing support to other departments as determined by the CEO.
- Organize CEO’s agenda and travel schedule, make arrangements for meetings and events for retreats, fundraisers, board meetings, etc.
- Perform general office duties such as ordering supplies, basic bookkeeping, and maintaining files and records, as necessary.
- Other tasks as required.
Qualifications
The Executive Assistant to the CEO must present the following skillset:
- A bachelor’s degree in a business field preferred, and a minimum of four (4) years of experience in an executive support/customer service role (or similar position), required.
- Strong interpersonal skills and a positive attitude.
- Demonstrated ability to work independently and as part of a team, with an impeccable work ethic and a willingness to go above and beyond to help the team achieve goals, solicit others’ perspectives, share knowledge, and participate in activities that support diversity and inclusion.
- Ability to handle sensitive and confidential situations with diplomacy.
- Ability to move and think quickly to keep up with a busy CEO; able and willing to thrive in a busy and sometimes hectic environment, working long and erratic hours as necessary.
- Demonstrated strong critical thinking, analytical and organizational skills, possessing strong attention to detail.
- Strong ability to multitask and troubleshoot under tight deadlines, with a proven ability to prioritize needs and tasks and problem solve quickly.
- A demonstrated eagerness to learn and take on new challenges, including openness to direction and feedback and a willingness to ask questions.
- Experience with standard office administration practices and procedures.
- Bilingual in English (native level fluency) and Spanish required, and able to communicate effectively in both languages, orally and in writing.
- Legally eligible to work in the U.S. without Visa sponsorship now or in the future, required.
- Ability to travel internationally required.
Education, Experience & Training
- Associate’s degree in Business Management, General Business, International Business, or related area. Bachelor’s or Master’s degree preferred.
- MS Office Suite proficiency required, and ability to quickly learn and master other apps.
- Must also be willing to keep up-to-date technically and apply new knowledge to the job.
Working Conditions, Equipment & Physical Demands
The incumbent in this position works in an office environment. The incumbent in this position will utilize the following equipment and shall have the following physical demands:
- Equipment: Computer, Printer, Scanner, Telephone,
- Physical Demands: Usage of equipment and light lifting to utilize and maintain equipment.

The salary range for this position is $69,767.00 to $110,000.00 annually.
