Project Assistant will provide essential support to ensure the smooth implementation and management of the project while maintaining its compliances with policy and procedures. Key responsibilities include preparing administrative documents requirement, organizing materials for various project activities (meeting, FGD, data collection, etc), maintain project documentations, and support all project’s engagement and outreach activities. Additionally, this position is expected to maintain project’s knowledge products and databases ensuring the data is accurate, updated, and easily accessible.
This position will be based in Jakarta with office-flex working arrangement and travel requirement as assigned. Reporting directly to NPAP Community and Project Coordinator, this position need to work closely and collaboratively with Plastic Waste and Ocean Manager and the rest of the project team. In support of WRI’s DEI commitment, you are responsible for actively participating in these collaborative efforts by integrating equity into your work, our workplace, and the organizational culture.
Project Implementation:
- Organize events, workshops, and meetings, including venue arrangements, invitation dissemination, participant follow-ups, and event reports of WRI Indonesia Ocean and Plastic Waste Programs in collaboration with relevant project and operations personnel.
- Support the development of Terms of Reference (ToR) for project activities
- Develop Minutes of Meetings and event/meeting documentation
- Assist the Plastic Waste and Ocean Manager in monitoring and maintaining the DIP (Detailed Implementation Plan) and MEL (Monitoring, Evaluation, and Learning) framework of Ocean and Plastic Waste Programs.
- Collaborating closely with WRI Indonesia operations team to ensure compliance with procedure.
Data Management:
- Maintain project’s documents and database to support the strategic decisions making for Ocean and Plastic Waste Programs
- Collect data and information from government documents, international organization reports, FGD, surveys and interviews with relevant respondents on topics relevant to Ocean and Plastic Waste in Indonesia
- Collaborating with team members to capture new data and information that can be stored in the knowledge base.
Stakeholder Engagement and Outreach :
- Collaborate with the Communications team to develop communication materials for events and workshops, such as posters, bumpers, and flyers.
- Synthesize information and publications, e.g. articles, reports, guidelines, regulations, etc on ocean (e.g., blue carbon, HLP, climate smart aquaculture) and develop them into well-written document (e.g., communications product and knowledge product)
- Coordinate outreach activities, track stakeholders involvement, and assist in maintaining strong collaboration with stakeholders.
- Contribute to donor report of High Level Panel of Sustainable Ocean Economy
What You Will Need:
Required qualifications:
- Bachelor’s degree in Environmental Management, Ocean Studies, or other related field.
- Minimum 1 year of work experience in a relevant field with strong interest in the area of sustainable development,
- Experience in project’s operations management, supported with an ability to communicate effectively with donors, development partners, private sector, universities, local government and CSOs.
- Business proficiency in English and Bahasa Indonesia, on both written and verbal communications
- Ability to work independently, under minimum supervision, demonstrate strong initiatives, work ethics, and self motivated
- Highly flexible and quick to adapt in a fast-paced environment.
- Strong interpersonal skills, working with people from a variety of backgrounds.
- Highly organized and attention to details to ensure work accuracy and efficiency
- Excels at managing multiple, competing priorities
- Ability and willingness to travel when needed
- Legally able to work in Indonesia
Preferred qualifications:
- Passionate about addressing plastic waste, ocean, and environmental management issues and experienced in working with multistakeholder platforms.
- Familiarity with project management best practices among internation CSOs and international donors
