Main purpose of job:
The Residence Logistics Coordinator serves as a key support role in ensuring the smooth operation and presentation of the Ambassador’s Residence.
This role encompasses a wide range of responsibilities, including upholding high standards of hospitality for all guests, leading logistical support, and overseeing arrangements for official engagements such as tea sessions, breakfasts, lunches, and dinners. The coordinator also provides ad-hoc assistance as required by the Residence Manager.
Working closely with the Residence Team, the Residence Logistics Coordinator ensures that the Residence functions efficiently and in alignment with the Ambassador’s preferences.

Roles and responsibilities / what will the jobholder be expected to achieve?
Event and Guest Management (40%)
- Ensure the Residence is ready to receive the Ambassador’s official guests for engagements, including senior Korean and international visitors and high-level UK dignitaries.
- Provide professional, high-quality, and courteous service to all Residence VIPs and guests on formal tea sessions, breakfasts/lunches/dinners, receptions and major outdoor events.
- Take the lead in space control and furniture movement before and after events.
- Monitor and maintain inventory and stock control for silverware, glassware, china, and other household items before and after events.
- Prepare menus, name tent cards, seating plans for the events.

- 대사관 공식 손님(주요 국내 및 국외 인사 포함) 맞이를 위한 관저 준비
- 티타임, 조찬/오찬/만찬, 리셉션, 가든 행사 등에서 품격 있고 전문적인 서비스 제공
- 행사 전후 공간 세팅 주도
- 실버 웨어, 글라스웨어, 차이나 웨어 및 기타 관저 용품 재고 관리
- 행사 메뉴, 이름표, 좌석배치표 준비
Maintenance and Housekeeping (20%)
- Maintain Residence working areas to appropriate health and safety standards and in a manner suitable for a historical building.
- Maintain and manage the upkeep of external areas, including the back of the Residence.
- Oversee effective recycling and waste management.
- Ensure flower storerooms are organised and adequately stocked with floral supplies.

- Maintain clear and proactive communication with the Residence Manager, promptly flagging any operational issues or risks.
- Coordinate effectively with team members across the Residence, ensuring shared understanding of priorities and smooth execution of duties.
- Participate in team briefings and feedback loops to support continuous improvement and service consistency.
- Liaise with JLL to ensure effective and timely maintenance and resolution of facilities-related issues.

Agility and Flexibility (20%)
- Respond effectively to last-minute changes in event schedules, guest needs, and logistical requirements while maintaining high service standards.
- Stay calm and solutions-focused during high-pressure situations, including back to back or large scale events.
- Proactively support various aspects of event operations beyond core responsibilities to ensure seamless delivery.
- This role requires occasional evening, early morning, and weekend work to support high-level visits and events, and to ensure their smooth execution.
