Job Description (Roles and Responsibilities)

The British Embassy in Cairo is looking to recruit a Residence Coordinator, job grade Administrative Assistant (AA) on a fixed term contract of one (1) year.

The British Ambassador’s Residence is a historical building in Cairo and a key venue for hospitality to support the work of the British Embassy, and the official residence of His Majesty”s Ambassador and his spouse.

The successful candidate will work with the Residence Manager. They will be expected to ensure the smooth day to day running of the Residence, ensuring the comfort and safety of its’ occupants and guests and meeting the needs of the Ambassador and his family. The job holder is also responsible for key functions under the guidance of the Residence manager including official lunches, dinners and receptions.

The jobholder will also be responsible for procurement, stock control and finance activities in compliance with the Foreign, Commonwealth and Development Office’s (FCDO) guidelines and protocols.

The ideal candidate will have previous experience in the hotel/hospitality industry, in food, beverage or housekeeping services and administrative processes to ensure that guests experience a high-quality Residence service.

Roles and responsibilities:

Manage the daily residence operations in line with FCDO’s guidance and values including but not limited to:

  • Oversee and supervise a three-person cleaning team, and a three-person team of Suffrages ensuring quality and a high standard of service delivery.
  • Manage overtime, leave and sick leave ensuring the Residence is appropriately staffed.
  • Ensure guests are welcomed appropriately and briefed on Embassy H&S protocols. Ensure all guests are looked after throughout the duration of their stay and that their accommodation is maintained to the highest possible standards. Oversee the rooms preparation in advance.
  • Support and arrange various aspects of functions and events within the Residence. This will include, but is not limited to, liaising with the Residence Manager on anticipated guests, identifying and delivering any special dietary requirements, and liaising with the chef to ensure proper table settings.
  • Responsibility for Residence procurement ensuring value for money and adherence to FCDO procurement and financial policies and procedures.
  • Manage beverage stocks and conduct monthly checks. With the Residence Manager, arrange for stock replenishment as and when required.
  • Maintain a system for tracking the movement of residence stocks and commodities.
  • Ensure accurate and up-to-date inventory records for all residence assets. Work closely with the Residence Manager to plan replenishments and manage asset lifecycle.
  • Identifying and reporting any maintenance issues to the Residence Manager/Technical Works team. Overseeing any remedial action. Ensuring regular maintenance is carried out in accordance with Estates policies.
  • Support in residence admin works, including preparing invitations, menu cards, name tags, etc.
  • Being involved in any post crisis/emergency planning and response.

The above list is not exhaustive, and the jobholder will be required to be flexible and take on other ad hoc tasks as required. The job description may be reviewed to meet changes in business needs.

Essential qualifications, skills and experience

  • Bilingual fluency in Arabic and English, with the ability to communicate ideas clearly and concisely in both spoken and written formats.
  • Excellent organizational skills, with a proven ability to manage workload, prioritize tasks, and meet deadlines without compromising quality.
  • Minimum of 5 years’ supervisory experience in the hospitality sector or a relevant field, with a demonstrated ability to lead teams in alignment with FCDO values.
  • Strong IT proficiency, particularly in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
  • Professional demeanour and presentation, consistently demonstrating discretion, courtesy, and attentiveness.

Desirable qualifications, skills and experience

  • Proficiency in procurement and inventory control, ideally within structured policy frameworks.
  • Excellent hospitality and guest service abilities, ensuring high standards of comfort and presentation.
  • Effective coordination and communication, including liaison with contractors and internal stakeholders.
  • Organizational and administrative competence, with attention to detail in scheduling, reporting, and event support.

Eligibility:

If you are selected for this position, the Embassy will be able to employ you as long as you:

  • Have the right to work and live in Egypt; and
  • Receive the appropriate level of security clearance.

Remuneration:

The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable gross salary of USD 882 per month, subject to insurance and tax as per the usual regulations, based on a 36-hour net per week. The working hours are from 1100-1830 Sunday to Wednesday, 1000-1600 Thursday. However, the successful candidate must be flexible on hours work as this will be dictated by operational needs.

Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.

We offer a competitive package including medical benefits, performance related bonus, recreational facilities, opportunities for job related training and development, etc. There are no other allowances payable as part of this package. No accommodation nor relocation expenses are payable in connection with this position.

This role is for a full-time employment, on a fixed-term contract of one (1) year, subject to three (3) months’ probationary period.
