The British Embassy in Washington DC is looking for an experienced and proactive Office Coordinator to join the Ambassador’s Executive Office. This role supports the delivery of the UK’s broader strategic objectives in the US and offers valuable experience in international engagement and cross-government collaboration.

The successful candidate will provide administrative and secretarial support to the Ambassador. As Office Coordinator, you will ensure the smooth running of the Ambassador’s Executive Office.

Working to the Chief of Staff, you will play a central role in coordinating the Ambassador’s day-to-day practical and logistical activities and ensure the smooth delivery of their priorities. You will work closely with internal stakeholders such as policy teams and senior leadership, as well as with external partners, diplomatic contacts, and other key stakeholder.

In this role, you will work at the heart of the British Embassy and its network of Consulates General across the USA —comprising over 900 staff and supporting the work of approximately 30 UK government departments and agencies.

We are looking for a proactive, organised, detail-oriented, and collaborative professional with experience in administration, stakeholder coordination, or office management. You’ll bring strong communication, prioritization, and organisational skills, along with the ability to manage competing demands and maintain high standards of accuracy. You will also demonstrate a commitment to delivering high-quality work, improving processes, and supporting an effective and professional office environment.

Core duties include effective office administration, preparing and coordinating the Ambassador’s briefing packs, quality control of written products that reach the Ambassador, inbox management, hospitality and travel arrangements, fielding telephone calls and enquiries, and managing the Ambassador’s correspondence. Each day varies and the job holder will need to demonstrate flexibility. The right candidate will find plentiful opportunities to develop a wide variety of experience.

The jobholder will manage the Ambassador’s personal administration, working closely with the Diary Secretary. As Office Coordinator, the job holder will ensure the smooth running of the Executive Office, including everything from greeting high profile visitors to managing a range of practical admin for the Ambassador. A proactive attitude is a must.

Duties and Responsibilities:

  • Leading on coordinating the Ambassador’s daily briefing pack and working with the wider team to produce high standard products.
  • Managing all incoming and outgoing correspondence, producing drafts for the Ambassador where appropriate.
  • Making travel arrangements for the Ambassador’s visits to the UK and US domestic travel.
  • Support the Chief of Staff in budget monitoring and administration.
  • Act as first point of contact for phone calls and general queries.
  • Inbox management to ensure efficiency.
  • General office management including logging the Ambassador’s travel, leave, gifts and monthly activities; stationery orders, shredding, data management, maintaining the Ambassador’s contact lists.

This is a full time job, and typically 9-5, but as we are largely subject to the Ambassador’s diary, the job holder will need to be flexible should support be required outside of these hours.

Essential qualifications, skills and experience

  • Previous substantive experience in a relevant administrative or secretarial role
  • Excellent secretarial skills, including touch and/or speed typing and proficiency with the Microsoft Office Suite.
  • Excellent organisational skills and a keen eye for detail.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and work as a team player.
  • Strong interpersonal skills, including the ability to be professional, courteous and deal directly with senior level contacts both inside and outside the Embassy.
  • Must be a citizen of either the US, UK, Canada, Australia or New Zealand.
  • Must have the right to live and work in the US at the time of application.

Core Hours/Hybrid Working

While many jobs in the US Network are able to offer flexibility in terms of working hours, core business hours are 09:30 to 15:00 (in the local time zone) Monday through Friday.

Employees will be expected to work from office full-time during the first 90 days of employment. After this time employees may work from home no more than 40% of the working week, subject to operational needs.

Unique Tax Rules

Please note that the tax arrangements imposed by the US on staff working for foreign governments, as well as those imposed by the UK Treasury on British and dual nationals working for the UK Government overseas, are atypical. The UK Government cannot withhold taxes (including FICA) on behalf of a US taxpayer. Instead, a US taxpayer is required to file taxes as if they are self-employed, and a FICA allowance is granted for those required to pay the employer contribution. Certain categories of staff (for example dual UK-US nationals and some visa holders) who work at Consulates General are not subject to US taxes. For those not subject to US taxes the UK Government reduces gross pay to a level broadly equivalent to taxed net pay. There are also social security implications for dual UK-US nationals. Please keep all this in mind when looking at the salary and the benefits package.
