This role is a newly appointed role where you will be providing administration and operation support to the Operations Manager and the leadership team.

Reporting to the Operations Manager, this role is responsible for daily tasks of general administration in addition to supporting the CEO, the management team as well as assisting with operational requirements and house management needs. The role will work closely to support the Operations Manager.

Key Tasks will be:

Reporting to the Operations Manager primarily to support and assist the efficient and effective Abbeyfield House management and operations.

  • Central administration support for office management
  • Responding to telephone calls, emails and correspondence, processing incoming and outgoing mail, photocopying and printing, filing and archiving, taking notes and responding to requests for information.
  • Record maintenance
  • Providing support with Board meeting agenda and minute preparation
  • Organising meetings and events
  • Drafting communications – internal and external
  • Purchasing office consumables
  • Minor marketing support – Updating Abbeyfield Australia website
  • Arrange travel and accommodation for Board and Abbeyfield Australia staff
  • Maintain company and membership registers
  • Maintain House Committee Register
  • Resident management and maintain resident database
  • Rostering staff
  • Supporting the Operations Manager with identifying and writing grant applications
  • Funding acquittals and compliance returns
  • Ensure currency of Work Health Safety knowledge
  • Additional administration support to the CEO when required.

You may also be required to undergo a number of employment checks as required by not-for-profit organisations.

What we’re looking for

We are seeking an experienced administration, operational professional who is driven by processes, continuous improvement and optimising efficiencies and operations. Sharing the affinity in supporting the community by providing housing needs to enable independence, security and safety for those in need.

We are looking for that person who is not scared to “get their hands” dirty ,share the load to get things done, and being part of the team.

In addition, the successful candidate will have:

  • Proven office administration
  • Some experience within the not-for-profit, Community Services or NDIS sector desirable
  • Advanced computer skills, MS Office
  • Excellent communication skills
  • Empathy and understanding of our community
  • The ability to work as part of a team or alone
  • Confidence and a great sense of humour
