Student Academic Affairs and the Graduate Division (SAA-GD) at UCSF collaborates, serves, and advocates for the holistic success of students and postdoctoral scholars. The Graduate Division serves as the institutional hub for graduate education and postdoctoral scholarship, advocating for excellence in training programs. The Events Specialist role, reporting to the Director of Special Projects or Associate Dean of Graduate Programs, oversees logistical and administrative needs for complex educational events and conferences. They assess program goals, manage budgets, negotiate service contracts, and contribute to event branding and themes.
Key Responsibilities:
- Plan and manage medium to complex events involving diverse guest sources, including public institutions, research entities, private sector interests, alumni, and potential donors.
- Identify suitable event locations and vendors, organizing logistics and coordinating event details.
- Determine staffing requirements, manage guest lists, and implement event budgets.
- Contribute to long-range event planning within the unit.
- Mentor and oversee less experienced events staff.
- Ensure the smooth execution of events, promptly resolving potential issues with tact and discretion.
- Mentor or supervise volunteer/student groups contributing to events.
- Evaluate program/event histories, budget considerations, and planning committee recommendations for event requirements.
- Act as the primary liaison between contractors, organizers, and staff for logistical support and accessibility at events.
- Negotiate, execute, and administer contracts with facilities/vendors, aligning with budget constraints and university policies.
- Develop studies, surveys, reports, and various marketing materials for meetings and conferences.
- Participate in committees and professional organizations related to event management.
- Perform miscellaneous job-related duties as required.
The hourly compensation range for this role is $32.08 – 50.47. An offer will take into consideration the experience of the final candidate, position requirements, AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.
