About the Position
The Director of
Advancement Data and Systems is responsible for the accuracy,
completeness, reliability, performance, integrity, and security of
the College’s fundraising and stewardship data, and advancement
technology systems. This individual will serve as the liaison
between Advancement staff and the systems they use to carry out
their day-to-day operations. The Director of Advancement Data &
Systems works with the Assistant Vice President (AVP) of
Advancement and Campaign Operations to analyze and streamline
business processes, establish, and document departmental policies
and procedures, oversee the design, testing, and delivery of
effective technology solutions, and proactively monitor the quality
of data within the fundraising and stewardship systems.
Primary Responsibilities
- Lead the data gathering and analysis efforts to evaluate
business needs and establish short- to long-term plans for
addressing those needs through existing or new technology
solutions - Oversee and facilitate all Advancement reporting and analysis,
ensuring that it is timely, accurate, and easily presented to the
Senior Management Team - Work with the AVP to develop strategies to streamline and
maximize the use of the fundraising and stewardship systems - Translate business needs and develop specifications for system
design and integration points between systems to enhance processes,
operations, and data flow - Determine needs for technology solutions utilizing a structured
process (gathering, analyzing, documenting, and managing changes)
and modern techniques (e.g., use cases, user stories, constituent
journeys), and facilitate testing for modified and new systems - Provide oversight for all inbound and outbound CRM data,
including daily record and gift processing, receipt and
acknowledgement of all contributions, posting to the General
Ledger, and integration with Admissions and Volunteer systems - Monitor system performance metrics and develop remediation
plans as needed - Manage all Advancement software vendors and other external
service providers including coordinating service tickets,
escalation, and training needs - Develop and maintain policies and procedures for Advancement
that guide staff on the proper usage of the department’s
fundraising and stewardship systems - Oversee revenue processing and ensure compliance with Generally
Accepted Accounting Principles (GAAP) and industry standards - Work with Instructional and Information Technology Services
(IITS) to ensure the successful integration of Raiser’s Edge (CRM)
into Haverford’s new Integrated Data Repository ensuring IA staff
can maximize the value of this new resource - Collaborate with IITS in the design and development of system
improvements for Raiser’s Edge and other Advancement Systems - Lead data quality control and compliance efforts for IA
including data governance, information access control, database
security, and quality assurance, ensuring processes and reporting
are aligned with industry best practices and College-wide
procedures - Work with the AVP to identify system training needs – both
initial and ongoing – for all College partners and IA staff focused
on leveraging fundraising and stewardship systems and/or data - Create (or contribute to the creation of) appropriate training
materials and facilitate (or oversee the facilitation of) training
sessions - Monitor all data requests and technical problems reported by
end-users - Proactively notify the user community of changes and
enhancements to fundraising and stewardship systems and/or changes
to business practices to ensure consistent and continuous
productivity - Maintain an ongoing awareness of the latest fundraising and
stewardship technology trends, software features, and services, and
adopt those that provide benefit for Institutional Advancement - Serve as Data Steward for Institutional Advancement and serve
on the College’s Data Stewardship Committee
Line of Report: The Director of Advancement
Data and Systems reports to Assistant Vice President of Advancement
and Campaign Operations. The Director oversees a team of three (3)
Advancement Operations specialists including a Gift Processing
Specialist, a Records Information Specialist, and an Associate
Director of Advancement Data and Reporting plus a team of student
workers.
Minimum Qualifications
- Bachelor’s degree or equivalent relevant experience
- Seven (7) years of information and data systems management
experience - Five (5) years of experience with Raiser’s Edge and/or Raiser’s
Edge NXT
Professional Competencies
- Expertise in understanding the principles of database
management, systems development lifecycle, and business process
workflow - Strong business analysis skills with proven experience taking
business requirements from concept to execution in fundraising
systems that delivered the desired results - Ability to manage multiple projects simultaneously with a high
degree of accuracy and attention to detail - Demonstrated experience managing a team of gift and/or data
processors and reporting/analytics specialists - Customer-service orientation with the ability to deftly handle
sensitive information - Ability to communicate effectively with internal colleagues and
external vendors - Excellent project management skills with the ability to manage
multiple projects simultaneously while having a keen attention to
detail - Effective communication skills with the ability to synthesize
complex information into distillable snapshots - Able to demonstrate sensitivity to social, cultural, and
economic differences and partner across diverse constituencies
while exhibiting sound judgment with confidential information
Special Requirements
- Possession of a valid U.S. Drivers’ License and ability to pass
a Motor Vehicle Record check
