The Department of Pediatrics at the University of Virginia (UVA) School of Medicine seeks applicants for an Administrative Assistant or Intermediate Administrative Assistant to perform clerical and administrative work for the Chair of the department as well as general administrative support.  

 

Administrative Assistants perform work of a clerical nature, providing office support under direct supervision. Work is typically repetitive and follows consistent practice and established procedures. Administrative Assistants consult with supervisors for most decisions outside of standard operating procedures.

The successful candidate will be expected to:

  • Type memos, correspondence, forms, and technical or confidential reports.

  •  Receive and screen incoming calls and mail, answer routine inquiries, and route calls to the appropriate individual.

  • Maintain calendars. Schedule and confirm appointments, meetings, and travel arrangements.

  • Review and answer standard correspondence.

  • Greet and screen visitors and provide customer support, as needed.

  • Oversee departmental events.

  • Escort guest speakers and candidates.

  •  Assist in overseeing overall administrative operations.

  • Provide division-level support to various areas within the department, as needed.

  • In addition to the above job responsibilities, other duties may be assigned.

  • Ability to work independently and as part of a team.

  • Positive attitude and commitment to the task at hand.

  • Ability to take ownership over tasks and complete them with attention to detail in mind.

  • Strong communication skills, both written and oral.

Minimum Qualifications:

  • Administrative Assistant:

Education: High School Diploma

Experience: None.

  • Intermediate Administrative Assistant

Education: High School Diploma

Experience: At least one year of relevant experience.

Preferred Qualifications:

  • Ability to work independently and as part of a team.

  • Strong communication skills, both written and oral.

This position is located in Charlottesville, VA, in the UVA West Complex.

This position will be in person, on site Monday through Friday (this is not a remote/virtual work position).
