Job Summary

The Benefits Operations Analyst is a subject matter expert centrally positioned on the team and working with all team members in various capacities. An integral member of the team, the Operations Analyst is responsible for supporting daily team functions and backup needs for efficient and accurate benefits administration.  With deep systems, file, process and Benefits knowledge, this individual monitors and maintains data integrity, system functionality, accuracy of Harvard’s in- and out-bound vendor file transmissions, supports case management and resolution, as well as executes various other Benefits Operations processes.

Position Description

  • Review monthly vendor audit files- research issues, identify root causes, and work internally and with the vendor(s) to resolve any data, enrollment discrepancies, and/or file issues
  • Escalate complex benefit data issues..  Document issues, corrections, and any next steps.  Ensure all data errors are fixed and file issues are closed.
  • Serve as data subject matter expert (SME) for University-sponsored Benefit programs.  Understand required data elements for accurate eligibility determination, audit systems and files to ensure appropriate data is maintained and transmitted.
  • Support management in retrieving data which supports Benefits Design and Operations reporting.  Assist in identifying appropriate data and the design of required reports.   
  • Provide case management support in ServiceNow, adhering to defined Service Level Agreements
  • Administer internal processes required to administer Active and Retiree benefits.
  • Participate on Operations Open Enrollment team and other projects and implementations as needed.
  • Participate in vendor service/issue meetings representing Operations.
  • Conduct internal operational training as needed
  • Perform data entry and data validation as required.
  • Serve as backup support for Ops team members as needed.
  • Other Operations tasks and projects as assigned.

Basic Qualifications

  • Bachelors degree
  • Minimum Four (4) years of experience in employee benefits administration
  • PeopleSoft experience preferred
  • Advance level of Microsoft Excel for analysis

Additional Qualifications and Skills

  • Supervisory experience
  • Knowledge of Microsoft Office Suite, especially Excel
  • Strong working knowledge of applicable federal and state laws, regulations and guidelines, including the Employee Retirement Income Security Act (ERISA) and IRS Sections 125, 403(b), 457(b) and 401(a), is preferred
  • Ability to work with ambiguity and complexity
  • Excellent analytical and numeric skills
  • Clear and concise writing skills
  • High level of discretion, attention to detail and collaborative working style

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
