The position is assigned in the Digital for Development Operations Division (ITOP) within the Information Technology Department (ITD). ITD enables ADB’s IT transformational projects and operations required for the Bank’s activities and knowledge exchange. The office delivers IT services and solutions, provides tools and knowledge platforms, and supports ADB’s endeavors to leverage the optimal use of information and communication technology in developing member countries.
ITOP spearheads the development of an IT strategy, aligning ITD with ADB’s businesses. The division ensures that the technology needs are being met, the use of technology in ADB is streamlined, and technology innovation is promoted within the Bank. It also monitors IT governance within ITD.The IT Assistant performs administrative and operational support services for various activities of a Unit/Division or project team. The incumbent will report to designated International Staff and Senior and/or National Staff.
Responsibilities:
  • Undertakes testing and documentation of small-scale computer-based application systems related primarily to administrative matters within the ADB. Provides support to other staff members by assisting in the research, collection, and compilation of data under the guidance of concerned specialists.
  • Coordinates the various activities such as meeting arrangements and ensures that the supervisor’s instructions are passed on to the concerned staff. Participates in the preparation of standard reports, schedules, and summaries by collating, extracting, and consolidating data or information in the required format. Prepares, proof-reads, and distributes correspondences, reports and other documents as requested, and ensures conformity to ADB standards.
  • Assists international and national staff in the recruitment of individual consultants, through the Consultants Management System and in processing contract variations.
  • Ensures all incoming mails are logged, properly distributed, and brought to the attention of concerned staff, and that all outgoing mails/documents are delivered on time.
  • Ensures the effective coordination of supervisors’ schedules by maintaining their calendars and arranging appointments, meetings, travel, and accommodation as specified by the supervisors and in accordance with ADB procedures.
  • Ensures the office filing systems and records are properly maintained and updated in accordance with an existing framework for easy retrieval.
  • Performs routine activities such as receiving and placing calls, liaising with specified internal contacts and external vendors, taking meeting minutes, and maintaining adequate stocks of office supplies as required
  • Works on assignments as and when required in the best interest of ITD.
Qualifications:
Relevant Experience & Requirements:
  • Bachelor’s degree in relevant fields.
  • At least 5 years of relevant professional experience.
  • Excellent written and verbal communication skills in English is required.
  • Good typing skills. Good memo composition and editing skills.
  • Good computer skills; familiar with computer systems used generally in multilateral organizations.
  • Able to work with individuals from different cultural/national backgrounds.
  • Good interpersonal and communication skills.
  • Able to manage priorities and workload within general schedule of work, instructions and standardized practices.
  • Able to maintain composure under pressure.
  • Able to work collaboratively with teams as a constructive team member.
