Summary of Duties:

The Spokane Clinical Campus Program Assistant position will use specialized knowledge to support the Spokane Clinical campus team in managing the clinical education for the College of Medicine students in the Spokane cohort. Reporting to the Operations Manager, this position will also provide complex and confidential support to the third, fourth and pre-clerkship coordinators and the Associate Dean of Clinical Education on the WSU Spokane campus. This position is the primary contact for all clinical partners and medical students in the Spokane area and is expected to provide response to all inquiries in a timely manner. This position exercises independent judgement and discretion related to the Clerkship program’s administrative operations of the ESFCOM campus in Spokane.
 

Responsibilities include but are not limited to assisting with the coordination of the Spokane campus operations; determining appropriate process flows; maintaining open communication and collaboration among internal and external constituents; serving as the first point of contact for the office; maintaining databases; assisting in administrative problem solving; identifying and following up on incomplete items and coordinating special projects for the Spokane campus team. This includes the administrative coordination of all students and preceptors associated with the Spokane Clinical Campus (approximately 90 students and 600 preceptors), specifically related to required student travel arrangements and the program’s proper onboarding of clinical preceptors.

The successful finalist must be proactive, take initiative, be efficient and responsive. Work and information handled is of a nature regularly requiring confidentiality and the exercise of discretion.

Required Qualifications:

High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.

Additional Requirements:

  • Demonstrated proficiency with Microsoft Office Excel, Outlook, PowerPoint and Word.

  • Strong customer service skills.

  • Excellent written and spoken communication skills.

  • Professional experience preparing correspondence, reports and/or presentations.

Preferred Qualifications:

  • Experience providing administrative support to an individual or group of individuals at the executive, senior leadership, director and/or manager level.

  • A Bachelor’s degree.

  • Experience in the healthcare industry or higher education industry.

  • Experience with any or all of the following financial activities: accounts payable, accounts receivable, budget development/maintenance, purchasing, travel, personnel.

  • Experience assisting in planning and coordinating conferences, events, workshops etc.

Monthly Salary: Range 37, $3,145 to $4,174, Step A-M

Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28. Step M is typically a longevity step.
