Housed within the Office of the Dean of the College, the Emma Bloomberg Center brings together a suite of University initiatives that support and advance Princeton’s commitment to ensuring that students from all backgrounds have the information, support, and mentorship that they need to access and succeed in higher education. The Center is home to a variety of programs designed to develop, implement, and disseminate the best practices for supporting and empowering students, particularly those from historically marginalized backgrounds, as they transition to, move through, and succeed beyond their college experience.

 

Reporting to the Center Manager, the Office Assistant supports the daily operations of the Emma Bloomberg Center for Access and Opportunity (EBCAO), helping to manage logistics, supplies, events, and various programs in support of Center operations. In addition, the Office Assistant serves as the primary reception point for the Center, greeting visitors, directing calls, and providing administrative support to Center staff including managing Director’s Calendars. EBCAO programs have summer institutes and programs, which may require more intensive hands-on work during spring preparation and summer months.  This position is fully in-person and not eligible for remote work.

Office Management:

 

* The Office Assistant provides general reception services for the center, answering phones, directing visitors, and responding to general inquiries. In this capacity, the Office Assistant creates a warm and efficient environment for Center visitors and program participants.
* The Office Assistant ensures that office supplies are fully stocked and that the office space is organized and tidy.
* The Office Assistant works with the Center Manager on space management and allocation.

 

Logistics and Operations:

 

* The Office Assistant assists program staff with logistical needs including facilitating space reservations, organizing housing for program participants, placing facilities orders, ordering materials, and facilitating food/catering needs.
* The Office Assistant collaborates with offices across campus, like Facilities, Dining, Housing, Conference and Events Services, and Building Services to ensure that programs operate smoothly and that participant needs are met.
* The Office Assistant supports Center communications, including making website updates, supporting the Communications Associate with social media engagement, and supporting the production of Center materials, like brochures and merchandise.

 

Event Planning:

 

* The Office Assistant supports the Center Manager in creating a vision for and executing the logistical elements of both small- and large- scale Center events, ranging from student workshops to conferences for external staff, faculty, alumni, and donors.
* The Office Assistant helps manage correspondence regarding event participation, including invitation and RSVP management.

 

Other Duties:

 

* The Office Assistant is an important member of the Emma Bloomberg Center staff. As such, they participate broadly in the support of program participants and Center activities. They should be visible at Center events and activities.
* The Office Assistant supports Center staff and program participants with other projects and duties as assigned by the Center Manager and Center Director.

* Strong organizational skills, including managing multiple unrelated tasks and long-term projects
* Warm and engaging approach to greeting Center visitors, students, and staff and engaging with campus colleagues.
* Keen attention to detail
* Ability to work as part of a highly collaborative team
* Ability to work evening and weekend events as needed
* Strong work ethic
* Strong analytical, organizational, and communication (verbal and writing) skills
* Ability to take initiative, self-supervise and function autonomously
* Demonstrate excellent judgment and ability to handle sensitive and/or confidential documents
* Effective problem solving
* Ability to work with a diverse team of colleagues and students
* Familiarity and comfort with best practices around diversity and inclusion
* Experience working in Google Suite, MS 365 Office, Google Workspaces
* Experience in meeting and event planning
* Ability to work in person Monday-Friday, staffing the opening and closing of the Center space (this job does not qualify for remote work opportunities)

* Bachelor’s Degree or equivalent

* 1+ years experience

 

Preferred Qualifications:

 

* Familiarity with Drupal, web tools, and other common communications tools and social media platforms.
* Experience working in higher education and/or serving students from historically underrepresented backgrounds.
* Fluency in a second language preferred, as many program participants are dual language.
