Are you a dynamic and organised professional looking for a challenging role in office management? Uniting’s head office in Sydney CBD is seeking a dedicated and efficient Office Coordinator to join our team.

This is a front-facing role that requires daily attendance in the office to ensure the smooth functioning of our corporate offices.

Key Responsibilities:

As the Office Coordinator, your responsibilities will include:

  • Providing day-to-day office management support to all Uniting Corporate staff.
  • Serving as the point of contact for all occupants and visitors through phone, email, and reception.
  • Developing and maintaining strong relationships with key suppliers, building management, and internal stakeholders.
  • Collaborating with Synod Reception when required.
  • Managing facilities and building management for a secure, safe, and tidy work environment.
  • Overseeing office security practices, including access control, key management, and visitor sign in/out.
  • Assisting in the design and implementation of office policies, processes, and procedures.
  • Coordinating office events, meetings, and catering as required.
  • Managing financial aspects of office management, including expense oversight and regular reconciliation.
  • Coordinating daily mail/courier/pick-up/deliveries.
  • Ensuring meeting rooms and kitchen areas are maintained in a clean and professional manner.
  • Managing all Uniting bookable resources, including meeting rooms, offices/hot-desks, and pool cars.
  • Providing assistance to the Property management team and Executive Assistant/Executive Officer team when required.

Qualifications:

  • No formal qualifications required.

Experience:

  • 3 or more years’ experience in office management or related field.
  • Excellent written and verbal communication skills.
  • Organised, systematic, thorough, accurate, and disciplined.
  • Ability to navigate a complex organisation, build relationships, and manage through influence.
  • Knowledge of Facilities and Building Management Processes.
  • Proficient in Microsoft Suite, especially Outlook.
  • Ability to multitask, prioritise, problem solve, negotiate, mediate, and resolve conflicts.
  • Strong attention to detail.

Even better:

  • Purchase orders and invoice processing experience.
  • Event coordination experience.
  • Previous experience in a similar-sized organisation.
