Position Title ADMINISTRATIVE SECRETARY
Position Summary Provides administrative support services to the Nutrition and Dietetics programs within the Herbert H. and Grace A. Dow College of Health Professions. It has a majority of effort associated with secretarial support services or program-related activities, including duties for a supervisor and handling substantive secretarial/administrative details as directed by the NDS Program Director. This individual serves as the primary support and first point of contact for the program.
Required Qualifications High school diploma or GED.
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications Associates degree in a business-related field or accounting background.
Experience working with a diverse group.

Duties & Responsibilities Provides administrative and secretarial support to the undergraduate Dietetics and the Master of Science in Nutrition and Dietetics (MSND) program director; prepares signature-ready correspondence, ongoing and summary reports, and other program documents in fulfillment of day-to-day, emergent and long-range requirements.
Provides support of the capstone course curricular requirements for the three options: (1) internship, (2) field experience and (3) Plan B papers; this includes identification and tracking of students completing each option, assessment documents and overall reporting.
Assists with Accreditation Council for Education in Nutrition and Dietetics (ACEND) accreditation criteria fulfillment documentation in accordance with ACEND guidelines.
Coordinates all Accreditation Council for Education in Nutrition and Dietetics (ACEND) accreditation criteria fulfillment documentation in accordance with ACEND guidelines.
Develops, maintains and queries program and university databases (e.g. Data Warehouse) including academic program plans, enrollment information, demographic information, academic forms, and other data and information requirements including an alumni database for program.
Coordinates and collaborates with CMU Innovation and Online and other university academic support services personnel in recruitment and retention of students, to include assisting the program director in assuring timely admission reviews.
Serves as the first line of service for applicant and student inquiries, responding to questions and referring applicants and students to appropriate personnel such a financial aid, veterans services, disability services, writing center and student account services.
Works collaboratively with campus admissions and support staff in Graduate Studies (ORGS).
Provides support to faculty teaching in the undergraduate Dietetics and the MSND programs, on-campus, off-campus, and online.
Monitors expenses within the S&E budget.
Reconciles CMU credit card charges, which includes Active Pay transactions each month.
Responsible for maintaining supplies and equipment inventory including tagging of equipment.
Processes employee reimbursement vouchers.
Prepares journal entries for fund transfers.
Processes payroll paperwork.
Prepares and processes personnel transaction forms.
Responsible for maintaining the undergraduate Dietetics and the MSND program websites, assuring completeness, currency and consistency with university requirements to include coordinating with the College of Health Professions Communications & Marketing Coordinator and CMU Innovation and Online marketing personnel.
Coordinates with the CMU Supervised Experiential Learning Manager.
Coordinates the College of Health Professions communications & marketing to create flyers and advertise in digital signage for meetings, scholarships, lectures, banquets, conferences, etc.
Prepares and submits invoices for payable accounting.
Prepares and submits purchase orders.
Schedules and attends program meetings; records and maintains minutes.
Coordinates and organizes applications to the program majors and assigns faculty advisors for program majors and minors.
Answers the phone and assists students and faculty.
Collects and maintains copies of syllabi from faculty each semester for courses offered.
Prepares student opinion survey packages, distributes, collects, prepares for evaluation and processes after the grades are in.
Keeps files on all who have signed major and minors in the program.
Keeps incomplete and deferred grades; removes them when they are completed by each student.
Prepares supply orders for paper, pencils, pens, etc.
Supervises student employees.
Schedules courses.
Responsible for special projects/other duties as assigned.
