Job Description

This position is primarily responsible for maintaining student health records and verifying immunization records in a high-volume, fast-paced environment. Job duties shift depending on the academic calendar. Medical Records duties include clearing alerts for health forms, processing record requests, responding to Health Portal inquiries, preparing documents for scanning and filing, routing documents for signatures, and monitoring and providing
customer service via phone, in-person, and email interactions. During high-volume immunization seasons, one will
verify uploaded immunization documents, data entry, and message students of document deficiencies, and work collaboratively across various departments within the University and with diverse populations and groups.
Responsible for taking a leadership role in cultivating, creating, and ensuring student participation in ASU Spirit, Pride, and tradition while instilling institutional affiliation and college pride.

Essential Duties

  • Responsible for the safeguarding of health records in compliance with HIPAA, state laws, and privacy acts
  • Verify the accuracy of the immunization data entered
  • Responds verbally or in writing to inquiries, complaints, or problems and makes necessary adjustments
  • Demonstrates collaboration, congeniality, and problem-solving skills. Maintains an open line of communication between management and other staff while always demonstrating a professional demeanor.
  • Ability to successfully balance multiple tasks simultaneously

Minimum Qualifications

Three (3) years of office/clerical experience, which includes one (1) year in a directly related function; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Evidence in medical office experience and training in HIPAA.
  • Demonstrated knowledge of Electronic Medical Records
  • Demonstrated knowledge of policies, procedures, and terminology of assigned functions.
  • Experience with the technologies in the operation of a variety of office machines.
  • Expereince in work that requires organization and detail-minded, demonstrates and the  ability to multi-task & work in a fast-paced environment.
  • Demonstrated knowledge of immunizations

Working Environment

  • In-person office setting
  • Monday to Friday, 8-5 pm • Working with Electronic Medical Records(EMR) Systems
  • Able to perform effectively in a high-volume, fast-paced environment
  • Must demonstrate ability to work independently and cooperatively in a team as needed and follow up towards successfully completing assigned tasks.
  • Maintain a clean and organized work area self-sufficient, use critical thinking to make decisions and be detail-oriented
  • Sit or stand for prolonged periods of time
  • Work collaboratively across various departments within the University as well as with diverse populations and groups
  • Use computers effectively – including inputting, reviewing, and retrieving information, extended periods of viewing screen, and using mouse and keyboard
  • Communicate effectively
  • Walk throughout campus for meetings or events, regardless of the weather
  • Climb stairs in locations with no elevator.
  • Ability to lift 35 lbs.
